Job Description Summary
The Fleet & Operations Administrator provides day to day administrative and operational support for GE Vernovas fleet activities while also supporting a range of general administrative tasks and ad hoc projects across Global Services.
The role focuses on coordinating fleet-related administration maintaining accurate records supporting internal customers and assisting with process addition the role supports non fleet administrative activities and operational projects contributing to the smooth running of business operations.
Job Description
Key Responsibilities
Fleet & Operations Support
Act as a first point of contact for internal customers on fleet-related queries ensuring timely professional and courteous responses
Support the administration of fleet processes working closely with fleet vendors internal stakeholders and wider GE Vernova teams
Assist with maintaining accurate fleet records documentation and reports including vehicle data invoices and compliance records
Support Workday and fleet inventory updates ensuring data completeness accuracy and alignment with internal policies
Assist in monitoring fleet costs invoices and vendor reports escalating discrepancies or issues where required
Support fleet reporting activities such as fuel usage maintenance costs vehicle inventories and insurance-related data
Identify opportunities for process improvements standardization and efficiencies escalating suggestions to senior team members
Ensure defined processes are followed and support compliance with legal policy and audit requirements
Administrative & Business Support
Provide general administrative support to the team including data entry document management reporting and meeting coordination
Support operational and administrative projects not limited to fleet such as process documentation system updates or internal initiatives
Assist with preparation of presentations trackers and management reports using Excel and other tools
Support coordination between teams helping track actions deadlines and deliverables
Handle ad hoc administrative tasks as required to support business priorities
Customer & Stakeholder Support
Build positive working relationships with internal customers vendors and stakeholders
Escalate complex queries to senior team members while ensuring clear communication and follow up
Support customer service desk case management activities (e.g. ServiceCloud or similar tools)
Skills & Experience
Essential
Experience in an administrative operations HR or customer support role
Exposure to fleet facilities operations or asset management processes is an advantage but not essential
Strong organizational skills with the ability to manage multiple tasks and priorities
Good attention to detail and commitment to data accuracy and quality
Confident user of Microsoft Excel Word and general business systems
Professional and polite communication skills in English
Ability to work effectively as part of a global or remote team
Proactive reliable and willing to learn new processes
Desirable
Some experience supporting fleet logistics or operational teams
Experience using case management or ticketing systems
Understanding of compliance confidentiality and basic controllership principles
Experience working with third party vendors or service providers
Personal Attributes
