Role description:

The Asst. PPM Consultant (Document Controller) will be responsible for executing and maintaining document management activities across the full lifecycle of data centre projects. The role supports multiple technical disciplines ensuring accurate document flow version control and compliance with project standards using Autodesk Contruction Cloud (ACC) / BIM 360 or equivalent platforms. This position requires strong coordination skills attention to detail and ability to work with global multicultural teams including adapting to meetings and working hours across different timezones when required.

Role accountabilities:

  • Manage Project Documentation: Register upload issue and distribute drawings submittals RFIs method statements reports O&M manuals and commissioning records.
  • Maintain Metadata Accuracy: Ensure precise metadata entry revision tracking supersession logging and compliance with file naming conventions.
  • Administer Document Control Systems: Perform daily administration in ACC/BIM 360 (or equivalent) including folder structure permissions workflow routing and submission tracking.
  • Support System Configuration: Handle project system set-ups configuration updates user onboarding and troubleshoot stakeholder access or workflow issues.
  • Quality Assurance & Compliance: Conduct quality checks on all documents maintain audit trails and support compliance with ISO 19650/ISO 9001 standards and client reporting.
  • Coordinate Submissions & Reviews: Liaise with designers contractors suppliers and internal teams for document submissions review cycles and workflow management.
  • Monitor & Report Progress: Track outstanding workflows follow up on overdue actions and prepare dashboards/status summaries based on document control KPIs.
  • Support Project Close-Out: Consolidate and track O&M manuals as-built drawings data books and commissioning documentation for project handover and archiving.
  • Ensure Repository Organization: Maintain organized accessible digital repositories; ensure documentation is audit-ready and meets client turnover requirements.
  • Enable Global Collaboration: Work effectively with multicultural teams flex hours for cross-timezone coordination and communicate professionally with diverse stakeholders.

Qualifications & Experience:

Education: Bachelors degree in Engineering Construction Management Architecture Information Management or related fields.

Experience:

  • 4-6 years experience in document control in construction or engineering environments.
  • At least 1-2 years working on data centre mission critical or similar complex technical projects.
  • Demonstrated experience using ACC/BIM 360 (or Aconex Asite Procore etc.).

Skills:

  • Strong knowledge of document control standards naming conventions and metadata structures.
  • Ability to manage high volumes of documentation under tight deadlines.
  • Attention to detail analytical thinking and structure organization.
  • Good communication skills and confidence engaging with multidisciplinary teams.
  • Proficiency in MS Office (Excel Word) Smartsheet PowerBi or equivalent platforms
  • Experience in generating basic dashboards or reports.
