Position Overview
The Events Coordinator plays a key role in supporting the delivery of PSFs overall event portfolio. This position provides end-to-end coordination for a wide range of events across the organization including conferences workshops summits meetings webinars galas government relations and other convening opportunities. The Events Coordinator contributes to the organizations strategic objectives related to strengthening PSFs reputation as a leader in convening and influencing as well as growing fundraising revenue.
What You Will Do
The key responsibilities of the Events Coordinator include:
- Support the planning organization and delivery of PSFs events portfolio with a special focus on event logistics.
- Collaborate with internal teams to define event objectives recommend formats and shape overall event plans.
- Develop and monitor event-specific workback timelines.
- Liaise with vendors and contractors to ensure services are delivered in accordance with agreements; obtain and evaluate proposals as required.
- Create event marketing materials that align with brand standards and event themes. Support content development and audio/visual needs as required.
- Assist in budget tracking reporting payment processing and financial reconciliation.
- Provide administrative support related to donors sponsors partners volunteers and event attendees.
- Support on-site event logistics including run-of-show development setup execution and teardown; oversee volunteers and temporary staff; and address on-site issues to ensure a successful event and positive attendee experience.
- Collect feedback from attendees; assist with post-event analysis and reporting to identify successes and areas for improvement.
What You Bring
- Post-secondary education in event management hospitality business or related field.
- One to two years of experience in a similar event coordination or support role.
- Strong written and verbal communication skills with a positive solutions-oriented approach and a customer service attitude.
- Excellent organizational and project management skills with the ability to manage multiple priorities and meet deadlines.
- Demonstrated ability to work respectfully and professionally with donors partners and stakeholders.
- Strong interpersonal skills with the capacity to work cross-functionally and foster collaborative relationships.
- Experience using basic design tools (e.g. Canva) considered an asset.
- Willingness and availability to work outside of regular business hours (evenings and/or weekends) as required.
- Valid drivers licence and access to a reliable vehicle.

- Base pay: The salary range for the Events Coordinator position is $62467 to $74960. The actual salary offered will be commensurate with the candidates skills and experience as well as the contribution they are expected to make in the the normal course employees are hired at a salary between the minimum and midpoint of the established range for a position.
Reporting and Supervision
Reporting to the Director Events the Events Coordinator is responsible for completing assigned work and collaborating with internal teams and external partners to support the successful delivery of PSFs overall event portfolio.
Location
This position is hybrid with a minimum of three days per week required in the Vancouver office. During peak event periods full-time in-office attendance will be required. Travel will also be required for events and to participate in meetings and staff gatherings. Preference will be given to applicants based in the Lower Mainland.
