Job Focus Area
The Louisiana Department of Educations Office of Teaching and Learning is seeking an Administrative Coordinator 4 to join the Educator Talent & Workforce Development team reporting directly to the Director of Background Credentialing. This role is an exciting opportunity to contribute to Louisianas mission of ensuring every classroom is staffed by certified effective and well-prepared educators.
As part of a team committed to achieving the Departments Educator Workforce goals including increasing teacher certification rates improving retention of teachers and leaders and ensuring safe classrooms through timely criminal background clearance this position plays a vital role in supporting teacher certification and background credentialing processes.
The ideal candidate will bring strong organizational skills attention to detail and the ability to work independently in a fast-paced environment. Key competencies include proficiency with digital tools (Google Drive Microsoft Outlook Zoom) comfort with databases and data entry and the ability to analyze sensitive documents such as criminal background checks with discretion and accuracy.
This is a unique opportunity to directly impact the teacher pipeline in Louisiana by ensuring that every certification request and background check is processed securely efficiently and in alignment with the Departments mission to serve students families and schools.

- Prior experience using case management systems or electronic databases for tracking processing and retrieving records.
- Demonstrated ability to review and analyze sensitive documents such as employee time and attendance records criminal background checks personal identification documents etc. with accuracy and confidentiality.
- Strong data entry and document management skills including scanning indexing and retrieving records in systems such as OnBase or similar platforms.
- Experience providing customer service and stakeholder support including responding to inquiries clarifying requirements and resolving issues professionally.
- Ability to prioritize and manage workload in a high-volume environment with strict deadlines.
- Familiarity with educator certification processes or state regulatory compliance work (preferred but not required).
- Demonstrated skill in working independently and with discretion while also functioning effectively as part of a team.
- Strong written and verbal communication skills especially in preparing clear accurate responses and documentation.
Minimum Qualifications
Three years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information
Job Duties:
As an Administrative Coordinator you will support the Educator Background Credentialing and Teacher Certification teams as follows:
Assign and process cases daily to support specialists in certification and background credentialing.
Provide customer service to applicants school districts and teacher preparation programs through the certification portal.
Research and resolve applications flagged for additional processing.
Help manage workload distribution based on volume and staff capacity.
Securely collect download and review criminal background checks (CBCs) from the Louisiana State Police.
Analyze and prioritize CBCs flagging urgent cases for immediate review by specialists or the legal team.
Confirm whether individuals on CBCs hold teaching certificates.
Scan and upload paper and electronic CBCs into OnBase ensuring accurate indexing and retrieval for investigations.
Manage and oversee the teams time and attendance records.
Maintain the teams technology inventory
Purchasing office supplies
Collect sort and distribute incoming mail; send out documents as requested by specialists.
Respond to user account login questions and assist with authentication.
Schedule and coordinate meetings for the supervisor and staff using Outlook and Zoom
Position-Specific Details:Appointment Type:Job Appointment.This position will be filled as a temporary job appointment that may last up to 4 years.The person hired for this position is expected to regularly report to the Baton Rouge office.
Work Schedule:Work hours are Monday - Friday. Work hours will be determined.
Compensation:The salary offered will be determined based on qualifications and experience.
