Provider Experience Coordinator
Reports to: Manager Provider Experience
Position Summary:
The Provider Experience Coordinator manages the operational and administrative aspects of onboarding and cross-training for both 1099 and W2 providers. This role ensures all logistical tasks including scheduling communication system setup access management and documentation are completed accurately and on time. The Coordinator partners closely with Medical Operations Practice Management Recruitment Clinical Leadership and IT to ensure providers are fully prepared to start on schedule.
Key Responsibilities:
Coordinate onboarding for 1099 and W2 providers joining weekly.
Guide providers step-by-step through the full onboarding process ensuring nothing falls through the cracks.
Communicate consistently with providers via email and Slack to provide support reminders and rescheduling assistance.
Send Google Calendar invites manage onboarding schedules and coordinate with internal teams for timely system access.
Submit IT tickets for provider access (Okta email accounts and internal platforms).
Follow up with providers on outstanding items (e.g. clinical sign-off sheets) and maintain accurate documentation of progress.
Troubleshoot IT-related issues and coordinate with internal tech teams for quick resolution.
Adapt to changing systems and onboarding processes adjusting communication and workflows as needed.
Track onboarding progress using tools such as Google Sheets Planbase (scheduler) and ZohoDesk (support ticketing).
Collaborate closely with Provider Experience Specialists to align communications and handoffs.
Maintain organized provider files and status trackers; prepare weekly reports on progress risks and capacity.
Perform other duties as assigned.
Requirements
Qualifications:
13 years of experience in administrative support operations or onboarding coordination (healthcare preferred).
Exceptional organizational skills and follow-through; able to manage high volumes (5060 providers/week).
Clear professional written and verbal communication; strong service mindset.
Proficiency with Google Workspace (Docs Sheets Calendar) Slack and ticketing tools (e.g. ZohoDesk).
Familiarity with identity/access management (e.g. Okta) and basic IT troubleshooting is a plus.
Ability to prioritize tasks escalate appropriately and collaborate across multiple teams (Medical Operations Practice Management Recruitment Clinical Leadership and IT).
Comfortable working in evolving systems and refining processes based on feedback and data.
