Job Title: Public Health Administrative Coordinator

Pay Rate: $17.00/hour (W2)
Position Overview
We are seeking a dependable organized and detail-oriented Administrative Assistant II to support an Office of Grants Management within a public health environment. This role provides administrative clerical technical and scheduling support for grant and contract activities that directly contribute to public health programs and community-focused initiatives.

Key Responsibilities
Provide data entry support for Federal State and Local public health grants including quarterly progress reports and annual renewals
Coordinate in-state and out-of-state travel for supervisors and managers; serve as the Office Travel Liaison
Manage the Office of Grants Management SharePoint site including updates file organization naming conventions and document archiving
Collaborate with procurement and contracts teams to support shared SharePoint sites for public health grant data
Assist with scheduling meetings reserving rooms preparing agendas and providing logistical support
Take meeting minutes and provide administrative support during internal and external public health meetings
Order office supplies and business cards; track inventory and maintain organized storage
Submit telecom service and ergonomic assessment requests as needed
Track and inventory items using an Asset Management System including check-in/check-out procedures
Assist Grant and Contract Administrators with typing contracts and coordinating documentation for new grant opportunities
Schedule interviews and compile materials related to public health programs and grant staffing
Maintain the Unit Managers calendar
Assist with preparing PowerPoint presentations and reports related to public health funding and initiatives
Distribute monthly Board of Supervisors agendas and maintain records of actions impacting public health programs
Perform additional administrative and public health support duties as assigned
Required Skills & Qualifications
Strong organizational and time-management skills
High level of attention to detail and accuracy especially with grant and public health documentation
Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook)
Experience with SharePoint or similar document management systems preferred
Interest in or familiarity with public health programs grants or government operations
Effective written and verbal communication skills
Ability to work collaboratively in a team-oriented public health environment
