Job Summary

Overview

The Crewing Services Coordinator plays a pivotal role in the successful delivery of live events by coordinating the planning scheduling and deployment of freelance and casual crew across multiple projects. Working closely with Operations Production and Account Management teams the role ensures that events are appropriately resourced with suitably skilled personnel in line with project requirements budgets and health & safety standards. The Crewing Services Coordinator acts as a central point of contact for crew maintaining strong working relationships ensuring clear communication and supporting the smooth execution of events from pre-production through to show delivery and de-rig.

Qualifications

Core Competences

  • Previous experience working with the event industry in the same role or perhaps as a Production coordinator or Venue planner is desirable.
  • Ability to work independently demonstrating a high level of initiative
  • Approachable proactive and outgoing.
  • Good financial understanding and can manage budget
  • Ability to work to tight schedules.Proficient in the use of multiple IT software programmes
  • Outstanding organisational and communication skills.

Responsibilities

  • Manage the selection and booking of freelance crew.
  • Identify opportunities to maximise labour margins and efficiency across all projects.
  • Monitor and feedback on project specific labour margins and utilisation.
  • Liaise with counterparts in the PRG group globally when utilising labour resources and ensure compliance of UK supplied crew when working in non-UK territories.
  • Follow working practices processes and compliance when compiling crew schedules in line with business requirements and legislation.
  • Feedback market trends and highlight any new labour requirements.
  • Coordinate project specific administrative duties including but not limited to;
  • Raise and issue crew purchase orders.
  • Compile and issue crew schedules and contact sheets.
  • Monitor the expiration of all crew documents including insurances licenses and training.
  • Complete accreditation processes if required.
  • Provide a point of contact for regular crew.
  • Travel and accommodation bookings.
  • Applications for Visas and A1/E101 forms and compile European Competency Documentation.
  • Liaise with the finance department regarding any disputes or queries on any labour invoicing.
  • Implement and monitor accreditation processes.
  • Liaise with Event Services when allocating full time events staff to projects.
  • Identify and highlight new areas PRG can provide labour services.
  • Act as a point of contact for regular crew.
  • Highlight and report to the Event Staffing Manager about any crewing services related issues.
  • Undertake additional projects as directed by the Event Staffing Manager.
