Job Title: HR Onboarding Associate
Salary: Php 30000
Schedule: M - F 7:00 am to 3:30 pm; Hybrid
Job Summary
The HR Onboarding Associate is responsible for conducting thorough and accurate background checks for all prospective hires. This role ensures that character references are properly contacted interviewed and validated and that all pre-employment requirements are completed documented and compliant with company policies and client standards. The position plays a critical role in safeguarding hiring integrity and maintaining regulatory and contractual compliance.
Key Responsibilities
I. Background & Reference Checking
Conduct character and employment reference checks for all hired candidates.
Ensure character references are properly interviewed using approved scripts or questionnaires.
Validate the accuracy completeness and credibility of reference responses.
Identify inconsistencies red flags or risk indicators and escalate findings to the CPO.
Document all reference check outcomes clearly and accurately in HR System
II. Pre-Employment Requirements Management
Manage and monitor completion of all pre-employment requirements including but not limited to:
o Government-mandated documents
o Employment eligibility requirements i.e. COE ITR etc.
o Medical / Physical Exam
o NBI/Police clearances or equivalent
o Client-specific compliance documents
Ensure all requirements are submitted verified and approved prior to onboarding.
Maintain organized and up-to-date employee pre-employment records.
III. Compliance & Process Control
Ensure background checking and pre-employment processes comply with company policies client requirements and data privacy regulations.
Follow standardized procedures timelines and documentation protocols.
Maintain strict confidentiality of candidate and employee information.
Support audits and internal reviews by providing complete and accurate records.
IV. Coordination & Reporting
Coordinate closely with HR team members IT Recruiters and Account Managers regarding candidate clearance status.
Provide regular updates on background check progress and outstanding requirements.
Prepare background check and pre-employment compliance reports
Qualifications & Requirements
Bachelors degree in Human Resources Psychology Business Administration or any related discipline.
Minimum of 2 years of relevant experience in background checking recruitment operations or HR compliance (non-negotiable).
Proven experience conducting character reference interviews and employment verification is required.
Exposure to broader HR functions beyond background checking such as employee services and administration compensation and benefits onboarding/orientation or company events management is advantageous.
Exceptional attention to detail with a strong focus on accuracy and data integrity.
Excellent verbal and written communication skills with the ability to conduct professional reference interviews.
Demonstrated ability to handle highly sensitive and confidential information with discretion and sound judgment.
Highly organized process-oriented and capable of managing multiple candidates and deadlines simultaneously.
