VIP Delegate Acquisition Manager – Job Description

Role Overview
The VIP Delegate Acquisition Manager is responsible for identifying engaging and securing high-value VIP attendeessuch as C-level executives government leaders investors industry experts and decision-makersfor trade shows expos and conferences. This role involves strategic outreach relationship building and delivering a premium experience to ensure VIP participation and event success.
Key Responsibilities
1. VIP Identification & Segmentation
Research and create targeted lists of high-profile industry leaders and decision-makers.
Segment VIP categories (C-suite government investors enterprise buyers thought leaders).
Work with marketing and data teams to refine prospect lists based on event themes.
2. Outreach & Engagement
Conduct personalized outreach via email phone LinkedIn and industry networks.
Present the event’s value proposition clearly emphasizing ROI and strategic opportunities.
Manage a structured communication cadence to maximize conversions.
3. Relationship Management
Build and maintain strong relationships with senior industry stakeholders.
Provide a concierge-style service to VIPs before during and after the show.
Work closely with conference producers sales teams and partnerships to align messaging.
4. Coordination & Experience Delivery
Ensure VIPs receive seamless registration onboarding and event-day support.
Coordinate schedules for VIP meetings roundtables hosted buyer programs or keynote roles.
Manage VIP lounges networking functions and exclusive sessions in collaboration with operations.
5. Reporting & Performance Tracking
Track outreach activities invitation status and confirmed attendance.
Report weekly performance updates pipeline status and risk areas.
Maintain CRM accuracy (HubSpot Zoho Salesforce or internal systems).
6. Strategic Contribution
Support event strategy by identifying trends opportunities and key industry players.
Work with marketing on targeted campaigns and messaging for VIP audiences.
Collaborate with partnerships and sponsorship teams to add value to sponsors via VIP engagement.
Required Skills
B2B events business development or key account management.
Excellent communication (verbal and written) and negotiation skills.
Ability to engage confidently with C-level executives and global decision-makers.
Strong research and prospecting skills.
Experience with CRMs and pipeline management.
High level of professionalism organization and attention to detail.
Ability to work under deadlines and achieve acquisition targets.
Experience in sectors such as tech healthcare data centres cloud energy or digital infrastructure is an asset.
