Overview
The Executive Business Support role is a key position within the Bangalore office providing high-level administrative coordination and operational support to senior management teams and technical disciplines. The role is best suited for a proactive detail-oriented and organized professional who can manage multiple priorities while ensuring smooth business operations.
The Executive Business Support professional will work closely with senior leadersespecially the Canada leadership teamand act as the Single Point of Contact (SPOC) for various administrative functions. Responsibilities include managing meetings and minutes planning travel preparing reports coordinating with HR and facilities managing office logistics organizing events supporting project governance administering seating plans and ensuring compliance with corporate standards. This role also plays a crucial part in facilitating executive visits and supporting productivity revenue reporting and QA documentation requirements.
The position requires strong communication skills in English and French proficiency with Microsoft Office tools and experience in office administration or customer service. Knowledge of SharePoint and Power BI is an added advantage. The ideal candidate is organized collaborative tech-savvy and capable of supporting stakeholders across global teams.
Your role
This is a varied and interesting role providing Administrative support to the senior management team Canada leaders team along with office management responsibilities for Technical disciplines. To perform this role successfully the candidate will be responsible for but not limited to the following.
- General administration and business support duties to the office including organise meetings recording minutes travel arrangements and report preparation.
- Being SPOC of Technical disciplines for all administrative related work.
- Provide interface between office and corporate procedures to ensure staff/office compliance.
- Coordinate with HR for smooth functioning of Business/Practice.
- Liaise with Local IS & Facilities Team in arranging the IT assets and space management.
- Liaise with suppliers/vendors in accordance with companys procurement procedures for business requirement.
- Organizing Corporate and social events.
- Supporting Head of Disciplines in smooth flow of work in the Practice/Departments.
- Administering the floor seating plan.
- Any ad-hoc tasks which are assigned as per the business requirement.
- Prepare the weekly & monthly reports on Productivity and revenue.
- Assist in project governance and quality domain by interacting with the relevant leads.
- Support QA documentation for the projects.
- Be part of regular meetings and ensure harmony between business & support services.
- Plan execute the visits of Senior Staff from various offices to India.
About you
- Bachelors degree in Engineering / Science /Commerce with good communication skills in English and French.
- Experience of working in an office environment covering administration and customer services duties.
- Experienced user of Microsoft Word Excel Outlook PowerPoint Knowledge of SharePoint and Knowledge on Power Bi will be added advantage.
- Agenda Management: Planning and organizing appointments meetings and events for senior executives.
- Communication: Managing the mailbox and correspondence to ensure effective communication among various stakeholders.
- Document Management: Organizing and maintaining important files and documents including reports and presentations.
- Administrative Support: Assisting in the preparation of reports presentations and other necessary documents for meetings and projects (COGE Quick-Fire).
- Business Travel: Arranging business travel including flight hotel and transportation bookings.
- Expense Account: Managing expense accounts.
- Sub-Practice Support: Providing general administrative support including loading codes FDT legal matters offers CVs trainings expense account management and entering HSE visits and activities in Enablon.
- Coordination with Various Stakeholders: Ensuring smooth follow-up on various Corpo requests such as mandatory training monitoring HSE objectives annual and mid-year evaluations recruitment follow-up Talent Pool EPN Global Practice and advance timesheets.
- SharePoint / Teams M-E.
- Managing timesheets and other related activities.
- Proven organisational skills.
- Proven ability to work on confidential documents and issues. Ability to work with minimal supervision with a proactive approach.
- Accurate record keeper Systems and Process driven with some proven experience in implementing change and effective use of Outlook.
- Self-sufficient vibrant and a keen team communicator with confident and approachable manner.
- Motivated to progress and improve current procedures.
