Provide complex and confidential administrative functions for the CEO Governance and the Senior Leadership Team (SLT). Communicate with others on behalf of the CEO and the SLT as directed. Produce a variety of documents for management Board of Directors and Board Committees; compose correspondence for executive signature; set up appointments and meetings; assist with the coordination and planning of Annual General Meetings and strategic planning sessions; maintain inventory of office supplies. This role has access to confidential and sensitive information that must be treated as such at all times.
Differentiating Accountabilities:
- Compose correspondence for executive signature; set up appointments and meetings; prepare and/or coordinate the provision of administrative services for the members of the Senior Leadership Team (SLT) and Board of Directors.
- Adhere to strict confidentiality guidelines to ensure that materials are only available to those who need to see them which at times may or may not include the CEO.
- Responsible for all administration and documentation associated with the Strategic Planning process Senior Leadership meetings All Hands Calls and all other meetings as directed including but not limited to preparing and circulating agenda coordinating presentations recording and taking minutes.
- Prepare reports for Senior Leadership Team members as requested
- Order supplies business cards and other inventory as required.
- Perform any other duties as assigned.
Qualifications :
- 3 years of proven experience in an executive assistant position in a corporate setting.
- Strong focus on confidentiality and demonstrated ability to understand and manage confidential information whether in reports or in meetings.
- Demonstrated ability to professionally interact with diverse groups of people including Board Members Senior Leadership and employees.
- Superior proficiency with the Microsoft Office suite (Teams Excel Power Point and Outlook).
- Strong organization skills and attention to detail.
Additional Information :
Target Hourly Wage: $32.11
Hourly Salary Range: $30.22 - $37.78
Salary will be determined based on skills experience education and other qualifications relevant to this position
