About the opportunity

The Administration Officer is an integral part of the School of Medicine Administration Team and will work under the general direction of the Team Leader Medicine Program in the Tasmanian School of Medicine. The key purpose of the position is to provide high level administrative support for the School in the delivery of all programs as required.

As an integral part of the School of Medicine and in collaboration with Program Delivery and Assessment staff you will provide a wide range of administrative support tasks including reception duties assisting with timetabling and student placements supporting examinations and assessments and providing general administrative services. The position will be responsible for creating effective relationships and working with internal and external health stakeholders to ensure seamless delivery of the Medicine program.

This role is available on a Full-time basis however Part Time may be considered for the right person.

What youll do:

  • Complete a broad range of administrative duties to assist in the delivery of programs within the Tasmanian School of Medicine. This may include clinical rotations timetabling student data base management supporting assessment and professional experience placements.
  • Effectively communicate progress of projects and tasks to relevant key members of staff.
  • Use and access systems within the University in accordance with the UTAS and College of Health and Medicine guidelines. Consult with and provide accurate advice to academic staff and students on course-related information university policies and procedures either face to face or through written correspondence.
  • Participate in relevant committees and working parties as directed by the Team Leader
  • Apply a Lean methodology to your work identifying and implementing continuous improvement.

  • Demonstrated administrative skills including good organisation and prioritisation skills together with the ability to perform tasks with accuracy and attention to detail and with minimal supervision.
  • Demonstrated interpersonal and negotiation skills with the ability to interact and communicate effectively and professionally with members of the public professional bodies and stakeholders at all levels.
  • High level organisation skills with the ability to meet deadlines while ensuring attention to detail work under pressure and prioritise tasks in a complex organisation.
  • Strong skills in a range of software applications including word-processing spreadsheet database presentation software email and the internet as a resource.
  • Excellent customer service with experience in focusing on and understanding client needs.
  • Well-developed oral and written communication skills including the ability to draft correspondence and prepare minutes and reports.
  • Ability to be flexible and adaptable to cope with changing work methods and working environment.

Salary details

Appointment to this role will be at HEO 4 and will have a total remuneration package of up to $88479 comprising base salary within the range of $71387 to $75623 plus 17% superannuation.
