Are you ready to be the part of our dynamic LCR China & APAC Team Were on the lookout for a super-talented and highly organized assistant to support our VP and the entire team.

This role is your chance to shine as it involves a large volume of work the ability to work independently responsiveness resourcefulness excellent communication skills proficient and meticulous organizational skills efficiency the ability to handle a multitude of tasks the ability to deal with highly sensitive and confidential information and the ability to stay ahead of and anticipate needs for the team.

No relocation assistance is offered for this position

Core Responsibilities:

  • Book travel within company travel guidelines for VP and other LCR members when needed.

  • Maintain VPs calendar proactively and maintan team calendars and sites booking meetings and making shifts and updates as needed including setting up monthly team meetings.

  • Office supply inventory management. Maintain and order office supplies as needed within budget and maintaining team supplies and sample LEGO sets needed for legal cases etc.

  • Help to draft monitor and maintain team budget along with the regional VP.

  • Meal coordination for business and team meetings as well as co-ordinating any team lunches and celebrations.

  • Planning team events such as the Annual Outing and any arrangements for the Annual Dinner and assisting with the planning of the yearly face to face Team Meeting.

  • Various Document Preparation and Review.

  • Expense reporting. Help with filing expenses in TEM for VP and China & APAC Team as needed.

  • Processing Invoices. Process invoices from law firms and other third parties for services and facilitate payment by Finance/BSO.

  • Processing ex-pat expenses for the VP and assisting the VP with any issues related to her International Assignment.

  • Copying and Collating and Shipping.

  • Some general (non-legal) research.

  • Tech experience good working knowledge of different programs and platforms such as Workday travel booking platforms Sharepoint Viva Engage iManage etc. and running Team Meetings online.

  • Greeting and hosting visitors to the team and LCR colleagues from overseas.

  • Recruitment and on boarding support. Provide support for any recruitment activities engaged in by the VP and/or the team such as job advertising and billing facility coordination of job fairs/interviews and follow-up events on-boarding and off-boarding processes and forms as well as screening assistance and arranging for onboarding and equipment for new employees.

  • Filing and File Maintenance. Help with filing and maintaining files including those team files on Sharepoint or other platforms.

  • Posting team updates and notifications on LCR Hub and Viva Engage.

  • Assisting with visa applications and arranging notary appointments.

  • Assisting with various preparation for legal cases.

  • Additional ad-hoc responsibilities as assigned by the VP.

The Legal Department known as Legal Compliance and Risk Management (LCR) handles all legal issues and inquiries for the LEGO Group on a global basis. A portion of LCR is located in Asia across four offices in Shanghai and Jiaxing China; Singapore; and outside of Ho Chi Minh in Vietnam. The VP & GC who will be supported by this role is currently based in Shanghai.

This position exists to support all members of the LCR China & APAC Team located in Asia. High quality administrative assistance is needed to help both the VP and General Counsel for the region as well as the entire team with all types of day-to-day administrative non-legal tasks in order to provide them with more time to complete their legal assignments.

Do you have what it takes

  • Minimum 5 years experience as an administrative assistant in а legaldepartment or similar position with proven track record in developing new and more effective processes for administrative support.

  • Associates degree or higher in а relevant area of study at а minimum if preferred

  • High proficiency in both written and spoken English ability in any other languages a plus.

  • Demonstrates an opportunity-oriented approach to daily challenges.

  • High level of team spirit.

  • Experience and/or training in Accounting/Budgeting.

  • Excellent communication skills.

  • Excellent organizational skills.

  • Ability to work under pressure.

  • Good with prioritizing workload.
