Join Atlantic Fruit GmbH a young and dynamic fresh produce importer based in Hamburg. We specialise in fair and sustainable supply chains for exotic fruits such as limes coconuts sweet potatoes and passion fruit serving demanding European and UK retail and wholesale markets. We are looking for a highly organised Trading Assistant Fresh Produce to keep our trading operations running smoothly behind the scenes.
In this role you will handle contracts orders documentation and system updates for exotic fruit shipments across Europe and the UK. You will work closely with our traders and logistics partners ensuring that our customers receive the right product at the right time with the right paperwork.
Tasks
Order & Contract Administration
- Prepare check and maintain sales and purchase contracts for fresh produce trades.
- Enter and update orders prices and shipment details in ERP/CRM systems.
- Ensure all key data points (Incoterms quantities prices delivery dates) are correct and aligned with agreements.
Documentation & Compliance Support
- Collect and file necessary shipping and product documents (invoices packing lists certificates etc.).
- Support traders and logistics in meeting customer and retailer documentation requirements.
- Flag missing or inconsistent documentation early and help resolve issues.
Coordination with Logistics & Finance
- Coordinate with logistics partners on bookings loading dates and delivery details.
- Share accurate contract and shipment information with finance for invoicing.
- Follow up on open items to ensure end-to-end visibility of each shipment.
Process & Tools
- Work with templates checklists and SOPs to standardise admin processes.
- Help maintain clean and up-to-date data in core systems.
- Suggest small process improvements that reduce errors and manual work.
Requirements
- 0-2 years of experience in an administrative operations or support role (preferably in trading logistics or fresh produce).
- Good command of English; German Spanish or other European languages are a plus.
- Strong attention to detail and comfort working with numbers and documents.
- Ability to prioritise and manage multiple shipments and tasks at the same time.
- Proficiency with Excel and common office software; experience with ERP/CRM is a plus.
- Team-oriented mindset and willingness to support colleagues during busy periods.
