Role Description

We are seeking a Bid/Pursuit Co-ordinator to join our Strategic Pursuits team working within our Mobility Business Area. The Strategic Pursuits team is a key part of our sales and business development team supporting client-focused bid submissions to win new business. You will be joining an established team containing 10 experienced pursuit professionals with a clear career progression path and opportunities.

As Pursuit Coordinator you will help to bring together ideas and input from team members to create clear and attractive bids for clients. You will work closely with Pursuit Directors and Leaders providing support throughout the Capture Planning (Market to Opportunity (MtO)) and Bid Delivery (Pursuit to Win (PtW)) phases to produce compelling client-focused submissions. This will include co-ordinating and carrying out a range of administration and production activities to support the submission of high-quality pursuits.

The ideal candidate is an organised and effective communicator who enjoys working with different people and handling several tasks at once. They pay close attention to detail and are comfortable working with deadlines. The role offers opportunities for continuous learning and growth within a dynamic collaborative team environment.

Key Accountabilities

  • Support Pursuit Directors/Leaders in developing pursuits through MtO and PtW phases. This will require completion of broad a range of tasks in collaboration with the Pursuit Director/Leader and other stakeholders.
  • Support Apprentice and Assistant Pursuit Coordinators in carrying out their duties.
  • Provide daily advice and guidance to bid team members sharing best practice and ensuring the bidding process is followed.

Capture Planning (Market to Opportunity (MtO))

  • Create/manage the bid management SharePoint Site (collaboration hub).
  • Support Pursuit Director/Leader in setting up meetings (e.g. storyboarding risk reviews pricing/commercials contract/legal reviews).
  • Attend meetings to capture actions and intelligence.
  • Schedule catch-ups and formal meetings.
  • Support Pursuit Leader in completing MtO actions.
  • Undertake research and collation of material to complete MtO actions
  • Monitoring the clients procurement portal for document release
  • Checking and maintaining an accurate entry for the opportunity in Oracle Sales Cloud
  • Supporting the Pursuit Director/Leader in development of Win Themes for Strategic Pursuits

Bid Delivery (Pursuit to Win (PtW))

  • Support Pursuit Director/Leader in setting up and maintaining the pursuit plan (programme leave chart compliance matrix etc.).
  • Share all incoming documents.
  • Ensure pursuit team is aware of all Tender Queries issued and replies.
  • Schedule bid team meetings (e.g. Pens Down Bid Reviews).
  • Produce documents presentations and materials to a clear brief using standard formats and software.
  • Collate corporate information for Pre-Qualification Questionnaire (PQQ) submissions
  • Conduct formatting and consistency checks.
  • Maintain the pursuit plan (deliverable list actions etc.).
  • Set up templates and response frameworks.
  • Complete standard company information inputs.
  • Ensure all documents are finalised and submitted correctly for submission.
  • Uploading / printing submissions
  • Check PQQ info prepared by junior and global staff for accuracy
  • Checking the digital PtW process is followed
  • Plan bid team communication (common understanding)
  • Compliance and completion checks for bid documents ensuring they are accurate meet quality standards and are delivered on time
  • Day to day liaison with global resources e.g. GSSC in Manila
  • Review and evaluate bid processes to identify opportunities for improvement
  • Support answer planning sessions and documentation
  • Identify opportunities to improve the bid process.
  • Review and compile team inputs for response documents.
  • Prepare non-technical components of pursuit documents to ensure accuracy and high quality.

Dimensions of the Job

  • Produce pursuit documentation formatted collated and presented professionally.
  • Demonstrate proactive hardworking and motivated behaviour with a positive attitude towards role and development.
  • Exhibit strong planning organisational time-management and self-management skills with the ability to work to tight deadlines.
  • Ability to guide a wide variety of stakeholders throughout the development of a pursuit
  • Demonstrate excellent prioritising and organisational skills in order to manage own workload and coordinate delivery of the pursuit programme by others
  • Creation and development of class-leading Microsoft templates for use within the wider business

Qualifications & Experience

  • Previous experience in Pursuit Coordination or Project Management.
  • Knowledge of Capture Planning (MtO) and Bid Delivery (PtW )processes and tools.
  • 3 years relevant experience.
  • Strong working knowledge of Microsoft Office Suite (Word Excel PowerPoint Outlook) and experience with Microsoft Teams and SharePoint
  • Bachelors degree or vocational equivalent desirable.
  • APMP Foundationdesirable
