About the Role:
We are seeking a proactive organised and resourceful Project Administrator to support our Brisbane based team and keep our office running this role you will provide high level administrative support to consulting staff and project teams.
As a key member of our national administration team you will drive process improvements and implement best practices to enhance efficiency. Collaboration is at the heart of this position you will work closely with colleagues across all levels to ensure smooth operations and exceptional support.
Key Responsibilities:
As a Project Administrator you will provide administrative support and ensure seamless day to day operations. Your responsibilities will include:
Managing complex word processing tasks proofreading editing and formatting documents from letters and proposals to multi volume reports in line with Umwelts style guide
Co-ordinating diaries scheduling meetings and taking minutes for senior leaders.
Handling travel bookings expense allocation and timesheet management
Liaising with employees vendors clients and suppliers to maintain smooth communication
Supporting special projects process improvements and national administration initiatives
Managing tasks via Umwelts SharePoint Administration Ticket Desk and ensuring compliance with quality systems and policies
Assisting with onboarding training and induction coordination for mine sites ensuring compliance and smooth integration for team members
Providing general administrative support to the Brisbane team and to other teams/offices as directed
Providing support and back up for the Office Coordinator Brisbane and relieving their leave
About You:
You are a highly motivated and enthusiastic professional with:
3 years experience in a similar role ideally within a professional services firm
Exceptional attention to detail and strong verbal and written communication skills
Ability to work under pressure prioritise tasks and meet strict deadlines
Advanced proficiency in Microsoft Word PowerPoint Excel Outlook and Adobe Acrobat
A proactive mindset with a passion for improving processes and document quality
