JOB SUMMARY
To assist the Purchasing and Logistics Manager to proactively manage the purchasing stores and goods in operation for all deliveries ensuring all stakeholders (including tenants and 3rd parties) deliveries are received in accordance with agreed parameters.
To deputise in the absence of the Purchasing and Logistics Manager.
To assist in the management of deliveries queues and prioritise the supply chain for all users of the loading dock.
To maintain a secure environment.
To manage and participate in the daily operating of the Loading Bay and stores in order to ensure correct and timely deliveries of all items leading by example.
To assist in leading and developing the team to ensure checking of deliveries in accordance with Marriott standard procedures is carried out consistently.
To communicate clearly and effectively to all users of the loading dock and stores the required standards and expectations.
To ensure adherence to all relevant Health & Safety procedures and appropriate documentation maintained.
Liaison manager for Capcon auditors monthly with responsibility for stock counting monthly.
CANDIDATE PROFILE
Experience:
Previous experience in a goods receiving and/or stock management environment preferred
Ability to work in a high-volume manual handling environment
Awareness of current Health & Safety legislation
Previous supervisory experience preferred but not essential
Skills and Knowledge
Strong communication skills (verbal listening writing) towards internal & external customers
Hands on team player
Ability to work on own initiative flexible can do attitude
Good understanding of stock management particularly beverage stock preferred
Ability to work proactively in a very busy environment
Knowledge & appreciation of food and beverage products desirable
Ability to work under pressure resolving conflict in a diplomatic and calm manner seeking Win Win solutions
Ability to adapt to a changing environment and prioritize accordingly
Education or Certification
Good level of written/spoken English essential
SPECIFIC DUTIES
The following are specific responsibilities and contributions critical to the successful performance of the position:
To assist in the manage the timing and execution of all deliveries for the hotel tenants and 3rd parties in line with agreements and to prioritise where necessary deliveries using sound judgement initiative and problem-solving skills
To maintain a positive relationship with all 3rd parties using the loading dock managing within agreed terms on behalf of the hotel.
Ensure all goods received by the Loading Bay for the hotel are of the correct quality quantity and description as per Purchase Order.
Ensure all Delivery Notes are signed and time stamped by receiver and delivery temperature recorded as appropriate and copies forwarded to the chefs with food deliveries.
To follow up on discrepancies between Delivery Notes and Purchase Orders (e.g. shortages overages non-deliveries incorrect items etc) with the relevant suppliers in a timely manner and notify the Food Buyer where appropriate.
To liaise with all relevant departments regarding deliveries enquiries and special requests.
To ensure the security of all items received by the loading dock whilst in the loading dock area.
To ensure relevant procedures are always carried out in relation to Health & Safety Hygiene Security Fire & Emergencies procedures and regulations.
To ensure that the Loading Bay and stores areas are kept clean tidy and in hygienic conditions at all times.
To use necessary safety equipment and clothing at all times and ensure uniforms are up to a hygienic standard.
To ensure all necessary safety equipment clothing and machinery is available in good working order and associates are trained in its correct use.
To ensure hotel equipment is used with the appropriate care to minimise damage and breakdowns.
To maintain correct stock management procedures in the stores areas.
To help source products as requested by hotel management.
To have a strong working knowledge of the procurement system Birch Street training and coaching associates where necessary.
To ensure adequate levels of stock are maintained for all stores items in line with business needs and requirements.
To ensure any stock or supply shortages are highlighted to the relevant managers as soon as possible.
To ensure security of the cellar and stock areas is line with Marriott policies and procedures
To foster an atmosphere of responsibility initiative and teamwork.
