Service Manager (Virtual Assistant Philippines)

JOB OFFER
Position Title: Service Manager (Virtual Assistant)
Employment Type: Full-Time (40 hours per week)
Work Arrangement: Remote (Philippines-based)
Reporting To: Director
Organisation: AU Medical Industry

ROLE PURPOSE
The Service Manager (VA) supports day-to-day operations including staff rostering shift changes documentation reporting and stakeholder communication. No prior NDIS knowledge is required; training will be provided.

KEY RESPONSIBILITIES
1. Staff Operations & Rostering
- Manage daily rosters and shift changes
- Handle cancellations and urgent replacements
- Track staff availability and leave
2. Participant Family & Stakeholder Communication
- Maintain relationships with participants and families
- Communicate updates to Support Coordinators
- Prepare and send monthly participant reports
3. Documentation & Compliance
- Ensure staff and participant files are complete and current
- Identify missing documents and follow up completion
- Maintain accurate digital records
4. Meetings & Reporting
- Coordinate staff meetings
- Prepare agendas minutes and action items
- Produce weekly and monthly reports for the Director
5. Problem Solving
- Identify operational risks and propose solutions
- Escalate critical issues appropriately

REQUIRED SKILLS
Essential
- MUST HAVE medical field background (nurse/psychologistetc) either as educational background or former employment
- Experience using Zoho One
- Experience using ShiftCare or similar systems
- Strong organisational and time management skills
- Excellent written and verbal English
- Strong problem-solving skills
- Proficient in Microsoft Word and Excel

KEY PERFORMANCE INDICATORS (KPIs)
- Roster accuracy 98%
- Unfilled shifts < 2% per month
- 100% on-time monthly reports
- Participant and staff files 99% compliant
- Queries responded to within 24 hours
