Activate is a tech company known for creating Canadas first full-scale interactive gaming facility. We are experiencing significant expansion and are looking to expand our team with the addition of an Accounts Payable (AP) Coordinator. The AP Coordinator supports the Finance team by managing Activatesvendor payments roleis responsibleforthereview and processing of invoices data entrytimelypayments vendor reconciliation andmaintaining complete and organized records to support efficient financial operations. This is a full-time permanent position.
The Duties and Responsibilities:
Accounts Payable &Finance Support
- Process invoices and payments daily ensuring accuracy proper coding andrequiredapprovalsin accordance withcompany policies.
- Match invoices topurchaseorders and supporting documentation.
- Perform regular vendor reconciliations and resolve discrepanciesin a timely manner.
- Monitor AP aging andescalate overdue or unresolved items as needed.
- Process cheque runs EFT/ACH payments and other bill payments.
- Assistwith month-end close activities includingaccountspayablerelated reconciliations.
- Reconcile company credit card statements and employee expense reports.
- Support audit and financial review requestsbypreparing documentation and responding to inquiries
- Ensureaccuratefiling and record-keeping of accounts payabletransactions.
Administrative Support
- Coordinate vendor account setup and maintenance including banking details and payment terms.
- Maintain and update the vendor database to ensure accuracy and completeness.
- Prepare invoice and payment history reports to support purchasing andFinance.
- Coordinate recurring payments such as rent utilities and service contracts.
- Track outstanding invoices and follow up internally to ensuretimelyapprovals.
- Perform other related tasks and duties as assigned.
Process Improvement& Compliance
- Ensure compliance with internal controls company policies andaccountspayable procedures.
- Identifyopportunities to improveaccountspayable processes and increase efficiency.
- Support system updates process changes and documentation as needed.
The Qualifications:
- Post-secondary certification or diploma in Accounting Finance ora relatedfield.
- Certificate in accounting or financial principles is an asset.
- Minimum2 years of experience in an accounts payable or similar accounting role.
- Proficiencyin Microsoft Office with strong skills in Excel;experience using accounting or ERP systems.
- Strong attention to detailorganizationand accuracy.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong communicationand interpersonal skillstoworkwith vendors and internal teams
