Job Details

The Executive & Reliability Programs Support Analyst plays a critical role in supporting the Maintenance & Engineering leadership team by acting as the central coordination administration and information hub for the Maintenance organization. Reporting directly to the Senior Vice President Maintenance & Engineering this position is responsible for providing analytical reporting focusing on fleet performance and reliability. Executive-level support managing all administrative and HR-related matters within the Maintenance group and delivering accurate reporting dashboards and analytical insights to support decision-making.

This role serves as the primary communication bridge between the SVP Maintenance Managers and cross-functional partners while also performing hands-on clerical and administrative work to ensure smooth daily operations accurate manpower tracking and effective execution of maintenance-related initiatives.

Job Duties

  • Provide direct executive assistance to the Senior Vice President Maintenance & Engineering including preparation of reports presentations meeting materials and follow-up on action items.
  • Act as a key liaison between the SVP and Maintenance leadership ensuring timely accurate and consistent communication across the Maintenance organization.
  • Coordinate and support leadership meetings track decisions and ensure execution of assigned actions.
  • Manage and execute all administrative and clerical functions for the Maintenance group including documentation records management approvals and internal communications.
  • Ensure administrative processes are followed consistently across all Maintenance teams and locations.
  • Maintain the Reliability Control Program framework in alignment with the Maintenance Control Manual (MCM) and applicable standards; prepare periodic reliability reports (monthly/quarterly) and chair/facilitate reliability review boards.
  • Develop and maintain data models and BI dashboards (e.g. Power BI/Excel/SQL) for reliability KPIs and executive reporting.
  • Collaborate with Supply Chain and Tech Ops to evaluate vendor/AMO performance (turnaround time quality warranty recovery reliability impact) and support supplier corrective action plans.
  • Provide analytical support for contracts and SLAs related to components/engines/APUs focusing on reliability outcomes and total cost of ownership.
  • Use structured project management methodologies to drive on-time delivery of reliability improvements digital initiatives and executive deliverables.
  • Serve as the primary point of contact between the Maintenance organization and Human Resources for all HR-related administrative matters.
  • Maintain comprehensive visibility of Maintenance manpower including headcount vacancies movements acting assignments and organizational changes.
  • Support HR processes such as onboarding offboarding transfers and employment status changes for Maintenance employees.
  • Review update and ongoing maintenance of Maintenance policies procedures and related documentation to ensure accuracy consistency and alignment with operational and regulatory requirements.
  • Coordinate with cross-functional teams including HR Finance IT and Operations to ensure effective execution of initiatives.
  • Assist with change management and communication related to Maintenance administrative and organizational initiatives.
  • Build and maintain strong working relationships with Maintenance Managers across all locations.
  • Handle sensitive and confidential information with a high degree of professionalism and discretion.
  • Perform other related duties incidental to the work described herein.
  • Develop concise executive-ready briefings dashboards and presentations for the SVP (Board updates monthly ops reviews budget cycles fleet strategy sessions).
  • Translate technical findings into clear business impacts (cost schedule risk) and support scenario analysis for executive decisions (e.g. modification ROI reliability investments inventory strategies).
  • Actively promote safety and quality within the organization and department by encouraging employee participation in SMS and ensuring effective communication with all stakeholders.
  • Collaborate with other departments to align maintenance priorities with the airlines operational needs.
  • Occasional travel may be required to oversee operations at various maintenance bases across Canada.
  • Flexibility to work outside standard business hours as needed to address urgent operational requirements or emergencies.
  • Perform any other related duties incidental to the work described herein.

    Job Requirements

    Knowledge Skills and Abilities

    • Strong organizational and administrative skills with exceptional attention to detail.
    • Proven ability to manage multiple priorities in a fast-paced operational environment.
    • Strong analytical skills with experience developing dashboards reports and management summaries.
    • Excellent written and verbal communication skills with the ability to interact effectively with senior leadership and operational managers.
    • High level of discretion professionalism and confidentiality.
    • Ability to work independently while collaborating effectively across functions.
    • Strong proficiency in Microsoft Office and reporting tools; experience with HRIS or operational systems is an asset.

    Education/Specific Training

    • Diploma or Degree in Business Administration Project Management Human Resources or a related field.

    Qualifications

    • Minimum 710 years of progressive experience in executive support administration project coordination or similar roles preferably within an operational or technical environment.
    • Minimum 3 years of experience in airline/AMO maintenance engineering reliability data analytics or operations performance role.
    • Proficiency with BI tools (Power BI) advanced Excel and SQL experience with maintenance systems is an asset.
    • Demonstrated understanding of aircraft maintenance operations line maintenance environments and operational planning considerations.
    • Experience supporting senior leadership and working closely with HR and operational teams is strongly preferred.
