Community Impact Associate

POSITION: Full-time Exempt

DEPARTMENT: Finance

REPORTS TO:Manager Donor Services and Grants Management

The Community Impact (CI) Associate provides critical administrative and process support to the Foundations Community Impact operations. This position plays an essential role in ensuring the accuracy timeliness and consistency of data and documentation related to the Foundations grantmaking and community investment activities.

Working closely with the Shared Services Grants Management and Finance teams the CI Associate manages data entry grant and contract workflows and process documentation to uphold operational excellence and compliance. The role requires strong attention to detail organizational discipline and the ability to execute repeatable processes with efficiency and accuracy.

Essential Functions of the Position:

Grantmaking & Process Execution

  • Support the end-to-end processing of Community Impact grants contracts and sponsorships ensuring accuracy compliance and timely execution.
  • Enter review and maintain Community Impact data in Foundant and other relevant systems.
  • Track and monitor grant statuses payment requests and required documentation to ensure completion within established timelines.
  • Coordinate with Finance and Grants Management to align payment schedules and confirm supporting documentation.
  • Maintain consistent digital filing and document management practices for all CI-related records.

Operational Coordination

  • Serve as a liaison between Community Impact and Shared Services to route requests clarify procedures and resolve operational issues.
  • Assist with procurement invoice submission and payment processes through or other financial platforms.
  • Support the preparation of summary reports dashboards and meeting materials to support CI leadership and internal partners.
  • Support the development and maintenance of standard operating procedures (SOPs) and process documentation for CI workflows.
  • Provide logistical support for meetings training and internal convenings as needed.

Data Integrity & Reporting

  • Ensure the accuracy and integrity of data entered into grants management systems and trackers.
  • Generate and validate reports for grantmaking activity program budgets and workflow tracking.
  • Support analysis of operational trends and recurring process issues to inform improvements.
  • Coordinate with data analyst and IT on system troubleshooting or configuration updates related to CI functions.

Cross Department Collaboration

  • Work collaboratively with the various teams to ensure smooth process handoffs and consistent documentation.
  • Communicate effectively with internal stakeholders to clarify timelines data requirements and next steps for processing items.
  • Participate in shared services meetings and contribute to ongoing process improvement discussions


Qualifications
  • Bachelors degree in business administration Nonprofit Management Public Administration or related field.
  • 35 years of experience in administrative support operations or grants management ideally within a nonprofit or philanthropic organization.
  • Demonstrated understanding of grantmaking and community investment operations.
  • Strong organizational skills and keen attention to detail.
  • Proficiency in Microsoft Office Suite and familiarity with systems such as Foundant Salesforce or preferred.
  • Ability to manage multiple priorities and deadlines in a fast-paced hybrid work environment.
  • Strong communication and collaboration skills with a commitment to service excellence.
  • Alignment with the Foundations values of equity integrity and accountability.

Other:
The Foundation operates in a hybrid working environment with staff working in-office three days per week and the opportunity to work two days remote per week if in good standing.


Compensation:

To be determined based upon experience and qualifications within the anticipated salary range of$60000-$65000. This position is exempt and employee is eligible for the Foundations competitive health and benefits plan that includes:
