Position Description
The Harris County Tax Assessor-Collectors Office is seeking dedicated detail-oriented and customer-focused Voter Imaging Lead Deputy Specialist II to join our team.
Under general supervision of the Imaging Manager the Imaging Lead Deputy Specialist II assists with overseeing daily operations within the Imaging Section of the Voter Registration Department. This role provides guidance and training to staff on preparing and scanning documents organizing batches for processing boxing completed applications and managing incoming calls for the Harris County Tax Office. This role helps the team meet production goals and deadlines by offering direction motivating staff and effectively delegating tasks to ensure efficient workflow and high-quality results.
About the Tax Assessor-Collector
The Harris County Tax Assessor-Collectors Office is essential for ensuring the proper administration of tax laws and providing vital services to the community. The office plays a key role in local government handling various financial and administrative tasks including:
Property Tax Collection: Assess and collect property taxes for all eligible commercial and residential property owners and entities. Calculate property taxes based on appraised values and ensure collection and distribution to the appropriate entities.
Motor Vehicle Services: Manage commercial and residential vehicle registration issue license plates and handle vehicle title transfers including the collection of associated fees.
Voter Registration: Oversee voter registration within the county issue voter registration certificates and maintain an accurate voter registration roll.
Additional Revenue Collection: Collecting certain fees fines and revenues related to permits or state mandates depending on the countys needs.
Duties and Responsibilities:
Perform as lead clerk for the Imaging Section of Voters by providing direction and instruction to fellow employees
Maintain daily log of total documents imaged by types prepare and submit weekly reports to Managers
Perform all work functions and maintain organization of daily work within the Imaging Section
Assist the mail desk with separation of daily mail: applications DPS applications confirmations return mail etc.
Image all documents submitted by processors related to voter records
Maintain master record of bar code labels used to track every imaged document
Print track numbers and maintain proper settings and toner levels
Affix a tracking number sticker to all documents by using the labeling machines (or hand apply if needed) and maintain labeling machines
Run the labeled cards through the imaging scanner and place in the proper data group
Box the imaged cards and prepare for pick up and retention to the Distribution Center
Generate print and prepare all form letters and telephone requests for Voter Registration applications for mailing on a daily (or weekly) basis as directed
Maintain adequate supply of copy paper for Voter Department copiers
Coordinate maintenance needed on all equipment including copier with vendor(s)
Assist with printing of poll books for all elections
Look up information on multiple computer systems
Process telephone requests from voters
Process a working knowledge of precinct boundaries verifying and processing voter registration applications
Provide general election information to the public including but not limited to the precinct number polling location dates/ hours/ location of early voting etc.
Provide support for Voters Department or Tax Office areas as requested
Perform other duties as assigned

Requirements
Education and Experience:
High school diploma or equivalent from an accredited U.S. institution.
A minimum of five (2) years of clerical experience in customer service working with the public in a high-paced environment
Strong commitment to civic engagement and increasing voter participation
Must be available to work extended hours during elections or when otherwise needed
Ability to work in a diverse and inclusive environment.
High level of professionalism ethics and integrity.
Ability to handle sensitive and confidential information with discretion.
Knowledge Skills and Abilities:
Thorough understanding of voter registration laws and procedures.
Knowledge of English grammar punctuation and spelling.
Excellent communication skills both written and verbal.
Strong organizational and project management skills.
Ability to work independently and as part of a team.
Proficient in Microsoft Office Suite data management software and voter registration tools.
Ability to lead and motivate staff.
Ability to work under tight deadlines and manage multiple projects simultaneously.
Ability to adapt to changing regulations and political environments.

A frequent volume of work and deadlines impose strain on a routine basis
This is a full-time in-office position. Remote work is not available unless specifically authorized based on operational needs

Physical Demands:
Some physical effort required which may involve periods of standing walking bending reaching stretching climbing lifting up to 30 lbs or similar activities (e.g. filing delivering sorting)
May require attendance at outside training seminars and/or conferences
Regular application of basic skills (calculator keyboard hand tools eye/hand coordination)
Working Hours:
Monday-Friday; subject to overtime holidays and weekends. Must be available to work extended hours during blackout periods or when otherwise needed.
