Administrative Assistant
Classification: Support Staff Nonexempt
Qualifications:
High school graduate or equivalent
Experience with office management
Proficiency with computers software Microsoft Office products and other programs related to accounting data analytics and student information systems
Reports to (Daily): Building Principal
Position Overview: The School District of Washington is seeking an administrative assistant to support the building administration and staff performing functions associated with building operations. Such activities include but are not limited to office management communication customer service and coordination of various building activities and events. This position has direct budgetary responsibility in terms of business operations of building funds. This individual has direct interaction with staff students parents and the public.
Essential Responsibilities:
- Maintain frequent communication with supervisor and associated building staff regarding various daily tasks and operations.
- Collect analyze and assemble data meeting the reporting requirements for the position. This includes student reporting staff reporting fiscal reporting and communication needs.
- Effectively utilize various software systems and other required District technologies as required for the position (Most notably student information employee information and accounting).
- Coordinate and maintain records needed for accountability associated with the duties and requirements of building operations. Examples include attendance fees receipts invoices requisitions emergency procedures/records etc.)
- Complete cross training activities including training others and participating in District professional development.
- Effectively and efficiently assume responsibilities associated with the position including avoiding unnecessary delays and exhibiting a professional demeanor in a position that is often interrupted.
- Report suspected abuse neglect discrimination harassment as directed by Board Policy and otherwise required by law.
- Regular and reliable attendance is necessary in order to perform the functions of this position.
- Perform other related duties as assigned or required for District operations.
Other Related Responsibilities:
- Additional duties necessary to supervise students monitor events or assist in an emergency situation.
- Maintain confidentiality as required for student and employee records.
- Attend building events such as open houses curriculum nights and events designed to bring the public into the District.
- Occasional or sporadic duties such as participating on an interview committee working an event or covering the duty of a colleague.
- Participate in professional development activities and/or work outside of the typical school work day and/or school calendar.
TERM OF EMPLOYMENT:. The Administrative Assistant at Washington Middle School works August through June. This position is eligible for applicable health and ancillary insurance annual paid leave award paid holidays falling during the student calendar and defined benefit pension plan. Typically a person in this position can anticipate 40 hours per week paid work time. The starting rate established by the Board of Education is $15.44 per hour depending on experience.
EVALUATION: Performance of this job will be evaluated annually by the Building Principal.
PHYSICAL MENTAL AND VISUAL DEMANDS: While performing the duties of this job the employee is frequently required to stand walk and sit. Additionally the employee may occasionally be required to push or lift up to 50 lbs as necessary for the safety and well-being of others. Lastly this job requires the employee to have the vision ability to read handwritten or typed materials and meet multiple demands from several people while interacting with other staff and the public.
