PURPOSE OF POSITION


The Crown Disclosure Specialist is accountable for the preparation collation and review of Crown Brief and additional disclosure requirements information and documents for Crown Attorneys. The position creates and prepares relevant documents and ensures that the required documents are received for court purposes.


SUMMARY OF DUTIES AND RESPONSIBILITIES


  • Responsible for the collation and preparation of Crown Brief reports information and documentation; check for discrepancies and contact officers or supervisors to clarify or obtain missing information or clarify charge wording.
  • Review prepare and apply processes required for bail releases warrants executed warrants relays summonses and Crown requests notifying the appropriate Supervisor to have errors or omissions corrected. This includes all processing via E-hub and E-Intake.
  • Complete Long Form Summons processing: creating the summons creating the contact logs and updating contact logs as required.
  • Complete Judges Orders are required.
  • Ensure the accuracy of information entered in the Records Management system including all entities essential to the investigation.
  • Process charges arising from violations against both federal and provincial statutes.
  • Update court folders and court documents when relay information is requested notify CPIC and the Courts of the changes.
  • Process Crown and Court section emails: complete all actions that are requests via the emails such as create amended Informations missing disclosure etc.
  • Completing the morning emails to the Crown and Federal Crown.
  • Complete Disclosure Centre processing and linking as required.
  • Filling and emptying the Court section brief case as required.
  • Verify that all Scope files have been completed.
  • Provide urgent backup for CPIC Operator and Trial Scheduler.
  • Responsible for entry and linking information in Powercase to assist the File Coordinators.
  • Remain current on legislation (e.g. Criminal Code of Canada Provincial Offences Act Youth Criminal Justice Act etc.) and resulting charge changes resulting from legislative updates.
  • Answer internal and external telephone inquiries.
  • Perform Commissioner of Oath duties as required.
  • Perform additional duties as required.

Knowledge


  • Completion of up to one year of post-secondary courses (Business Administration Office Administration)
  • Up to two years of relevant work experience.
  • Comprehensive knowledge of records management systems procedures and information.
  • Demonstrated knowledge of CPIC.
  • Demonstrated knowledge of PARIS System (Police Automated Registration Information System)
  • Exceptional knowledge of the confidentiality and privacy concerns contained in legislation policy and procedures that protects the unlawful dissemination of information including extremely sensitive information.
  • An understanding of the organizational structure Routine Orders Policy and Procedures practices within the Service as it pertains to duties performed.
  • Knowledge and ability to reference materials required for job duties and responsibilities such as CPIC user manual CPIC Policy manual Criminal Code of Canada Youth Criminal Justice Act Controlled Drugs and Substances Act Highway Traffic Act Provincial Offences Act Liquor Licence Act Trespass to Property Act etc.
  • Working knowledge of standard office software on personal computers
  • Working knowledge of Scope and (Axon)
  • Working knowledge of Powercase software

  • Planning organizing and analytical skills with sound logic and good judgement.
  • Computer literate in word processing.
  • Keyboarding skills of 40 w.p.m.

  • Ability to adapt quickly to changes in policies and procedures.
  • Able to ensure strict compliance with legislation regulations guidelines policies and procedures.
  • Knowledge of court structure preparation policy and procedures.
  • All other qualifications the position justifies.


Physical/Mental Demands


  • Continuous use of computer keyboard and mouse.
  • Extensive periods of sitting.
  • Attention to detail and visual concentration required.
  • Multiple deadlines and urgent assignments.
  • May have exposure to disturbing/graphic written material.
  • Work is performed in a standard open concept office subject to frequent interruptions.
