The Opportunity:
As we continue to expand our global Medical Affairs efforts we are seeking a Stakeholder Engagement Operations Manager with a focus on supporting scientific congresses medical meetings and advisory boards across key regions including the U.S. Europe and Japan. This individual will play a critical operations role in ensuring seamless logistical coordination and cross-functional alignment for congress activities and advisory boards including Medical Affairs planning booth and symposium coordination internal readiness post-congress reporting and advisory board planning. In this role you will be responsible for:
Scientific Congress & Meeting Operations
Project manage Medical Affairs support for scientific congresses and external medical meetings globally.
Coordinate internal congress planning meetings and timelines ensuring alignment across Medical Affairs Commercial Legal and Compliance.
Manage submission tracking and deadlines for scientific abstracts posters and presentations in partnership with Medical Communications.
Liaise with congress organizers to manage logistical details for scientific booth presence symposiums and HCP engagements.
Support Medical booth staffing internal training materials and on-site coordination (virtual or physical).
Manage the development of internal congress guides briefing documents and post-congress summary reports.
Advisory Board Operations
Assist with Medical Affairs operations to deliver on advisory board logistics and execution.
Partner with internal team (medical affairs clinical commercial) to manage the execution of advisory boards aligned with strategic priorities.
Assit with vendor relationships related to congresses and advisory board activities.
Cross-Functional Collaboration
Serve as a liaison between Medical Affairs and internal functions (including Commercial Legal Regulatory and Compliance) to ensure compliant execution of all activities.
Assist with contracts and vendor coordination for congress-related services (e.g. medical writers AV support booth logistics) and advisory board activities.
Ensure timely tracking of congress and advisory board deliverables budget tracking and issue resolution.
Compliance & Documentation
Ensure congress and advisory board activities adhere to internal policies and external regulations (PhRMA OIG etc.).
Manage documentation related to vendor contracts content approvals and HCP interactions.
Support transparency reporting requirements related to scientific meetings and congresses.
Required Skills Experience and Education:
Bachelors degree required (Life Sciences Communications or Business preferred).
5 years of experience in Operations Project Management and / or Meeting Management.
Strong organizational and project management skills with ability to manage multiple timelines and stakeholders.
Excellent interpersonal and communication skills to work effectively across departments and with external partners.
High attention to detail and accountability for deadlines.
Preferred Skills:
Experience supporting Medical Affairs operations activities at oncology-focused scientific congresses (e.g. ASCO ESMO AACR).
Familiarity with Veeva project management software or medical content review systems.
