Position Overview

The Paloma is seeking a highly organized and proactive Office Manager to oversee daily administrative operations and support our remote team. This role is responsible for ensuring efficiency across workflows vendor coordination scheduling and internal communication. The ideal candidate is detail-oriented resourceful and capable of managing multiple priorities in a fast-paced design-driven environment.


Key Responsibilities

  • Manage and streamline daily administrative and operational processes

  • Coordinate schedules meetings and internal communications

  • Support leadership with calendar management reporting and project tracking

  • Oversee vendor communications documentation and contracts

  • Assist with purchase orders invoicing and operational tracking

  • Maintain organized digital systems files and internal databases

  • Develop and improve internal procedures and workflow efficiency

  • Support onboarding and administrative needs for new team members

  • Collaborate with design sourcing and operations teams to ensure smooth project execution

  • Monitor deadlines deliverables and priorities across departments

  • Handle general administrative duties and special projects as assigned


Qualifications

  • Bachelors degree in Business Administration Management or a related field preferred

  • 0-1 year(s) of experience in office management operations or administrative leadership

  • Strong organizational and time-management skills

  • Excellent written and verbal communication

  • Proficiency in Microsoft Office Google Workspace and project management tools

  • Ability to work independently and manage competing priorities in a remote environment

  • Experience working with remote or distributed teams

  • Strong problem-solving and decision-making skills

  • Interest in design home goods or luxury retail is a plus
