The Role

We are looking for a dedicated Personal Assistant to support our CEO Avi. You will play a pivotal role in ensuring the CEOs personal life runs smoothly and will be a key contributor to his effectiveness and productivity. This role requires a high level of discretion organisation and adaptability.

This role would be particularly well suited to someone with experience working as a Personal Assistant to HNW individuals and their families including the management of private homes and personal affairs. You will benefit from transitioning into a stable professional company environment while still operating at a highly personal and trusted level. Working alongside a team of experienced Executive Assistants this role offers the opportunity to share best practice collaborate with peers and further develop your career within a supportive and high-performing EA community.

What will you be doing

  • You will develop a close trusted working relationship with the CEO and his family becoming a long-term partner in managing personal priorities with discretion foresight and sound judgement.

  • Handle a variety of personal tasks for the CEO working alongside the Executive Assistant being the point of contact for related tasks.

  • Alongside the support of the CEOs Executive Assistant you will act with autonomy and judgement making informed decisions on behalf of the CEO where appropriate and escalating only when necessary.

  • Manage the CEOs personal calendar: Schedule and prioritise appointments and travel arrangements while considering the CEOs time constraints and preferences.

  • Travel Coordination: Arrange domestic and international travel including flights accommodations and itineraries for the CEO and his family. Ensure the CEO is well-prepared for trips.

  • Deal with highly sensitive and confidential information appropriately demonstrating a high level of emotional intelligence.

  • Communication: Act as a liaison between the CEO and various stakeholders including family members friends and personal advisors to ensure effective communication and coordination.

  • Event Planning: Assist in planning and coordinating personal events celebrations and gatherings.

  • Problem-Solving: Address issues and challenges that may arise in the CEOs personal life finding efficient and effective solutions. Third door thinking.

  • General Administrative Support: Perform various administrative tasks such as managing personal invoices phone calls home projects and other duties as assigned.

  • Organise personal documents to be signed internally or via a Notary.

  • Process the CEOs personal expenses and payment of invoices.

This role is primarily based at our beautiful Barcelona HQ as part of the office team with responsibilities that can also require on-site hands-on support at the CEOs residence as needed. Working hours are generally Monday-Friday during core business hours with flexibility required outside these hours and during periods of CEO travel.

What will you need to succeed

  • Previous experience in a Personal Assistant role supporting a Senior Executive (ideally CEO) in a busy fast paced corporate environment.

  • A strong sense of ownership and pride in the Personal Assistant profession with an understanding of the standards discretion and judgement required at senior and UHNW level.

  • Fluent in Spanish Catalan and English a must.

  • Experience in managing frequent travel coordination.

  • Experience planning events and meetings.

  • Proficiency in calendar and email management systems; GoogleSuite / Slack.

  • Exceptional organisational skills and the ability to manage multiple tasks simultaneously.

  • Strong communication and interpersonal skills; ability to build rapport quickly and manage stakeholder expectations.

  • Strong problem-solving abilities and adaptability.

  • Not afraid to innovate: you create elegant solutions to smaller problems or projects to constantly optimise time and task management.

  • Proactive approach and able to work under pressure. Look for problems to solve before they become problems. But when they become problems stay cool and solve them quickly.

  • Be a team player. Strong ability to work collaboratively with other people across the organisation and an understanding of how to get the best out of people.

  • Flexibility to work outside of normal working hours and be available should emergencies arise within your work remit with the CEO.

How We Work

At Perk we take an IRL-first approach to work where our team works together in-person 3 days a week. As such this role requires you to be based within commuting distance of our hubs. We fundamentally believe in the value of meeting in real life to improve connectivity productivity creativity and ultimately making us a great place to work.
