Job Summary

Reports to: HR Director

Work Schedule: 8 hours per day; Monday through Friday; 52 weeks per year

Primary Purpose

The District Administration Building Receptionist serves as the first point of contact for all visitors callers and guests to the central administration office. This role provides crucial reception and clerical support to ensure the efficient and professional operation of the districts main office.

Essential Job Functions
  • Reception and Communication:
    • Greet and welcome all visitors vendors and staff to the administration building in a professional and courteous manner.
    • Implement and enforce visitor sign-in/sign-out procedures and issue visitor passes to maintain building security.
    • Answer screen and route incoming calls on a multi-line telephone system taking accurate messages when necessary.
    • Respond to and resolve general inquiries from the public staff and parents or direct them to the appropriate department or individual.
    • Act as a liaison between school campuses the public and central administration staff.
  • Clerical and Administrative Support:
    • Receive sort and distribute all incoming and outgoing US mail inter-office mail faxes and deliveries.
    • Prepare basic correspondence forms and documents ensuring compliance with district standards.
    • Assist with the compilation maintenance and filing of various records reports and administrative documents ensuring confidentiality.
    • Schedule and coordinate meeting space reservations and maintain shared office calendars.
    • Assist with the preparation of materials for mailings including copying stuffing envelopes and applying labels.
    • Responsible for coordinating the districts substitute teachers.
    • Process any transcript requests
    • Process volunteer background checks and update the website monthly
    • Assist Assistant Superintendent as needed.
  • Office Management:
    • Order receive and maintain inventory of general office supplies and forms for the administration building.
    • Monitor and ensure the proper functioning of office equipment (e.g. copier fax machine postage machine) scheduling maintenance as needed.
    • Keep the reception area neat organized and stocked with necessary information and materials.
    • Maintain the districts internal phone extension list and staff roster.

Qualifications
  • Education/Certification: High school diploma or equivalent (GED) required.
  • Experience: Two (2) or more years of clerical or receptionist experience in an office environment preferably within a school district or public entity.
  • Knowledge/Skills/Abilities:
    • Proficient computer skills including working knowledge of Microsoft Office Suite (Word Excel) or Google Workspace (Docs Sheets etc.).
    • Demonstrated ability to operate a multi-line phone system and standard office equipment.
    • Excellent verbal and written communication organization and interpersonal skills.
    • Ability to maintain strict confidentiality regarding sensitive district and personnel information.
    • Ability to work independently manage multiple tasks simultaneously and maintain emotional control under stress and with frequent interruptions.
