Job Summary

Reporting to the Assistant Director Pre-College Programs the Campus Assistant supports the operational academic and logistical functions that ensure an exceptional student and instructor experience. Responsibilities include office support coordinating classroom and facility logistics supporting online course access assisting with event and field trip execution and maintaining social media engagement. 

During the summer term the Campus Assistant staffs the Academic Support Office responding to instructor inquiries processing requests through the Academic Support Kiosk and coordinating academic events. This position requires strong organizational skills attention to detail and the ability to collaborate effectively across teams and departments to ensure smooth program operations and a high-quality academic environment.

This position is an on-campus work opportunity located on Columbias Morningside Campus. Some early morning and evening work is required on occasion while the primary workday is conducted during normal office hours 9:00am - 5:00pm or 8:30am-4:30pm Monday - Friday.

RESPONSIBILITIES
Program support (Primary responsibility) 

  • Support day-to-day operations to ensure a seamless academic and student experience across all Pre-College programs and serve as the primary point of contact for all instructional support requests and inquiries
  • Staff the Front Office desk and maintain a clean organized space including branded signage and well-organized materials and desks maintaining professional front desk etiquette in all interactions
  • Monitor and respond to instructor requests submitted through the Academic Support Kiosk (ASK) email phone and walk-ins including print technology and general inquiries and coordinate larger print jobs with the Universitys Print Services Office
  • Proofread evaluation letters
  • In collaboration with the Assistant Director coordinate the guest speaker process and communicate guest speaker policies and procedures to Instructors and TAs
  • Organize and distribute swag to guest speakers for online and on-campus engagements ensuring adequate stock tracking inventory and submitting resupply requests as needed
  • Monitor conference room bookings for Instructor office hours via the online reservation portal and coordinate with the team to assign Campus Assistants as observers in compliance with Protection of Minors Policy
  • At the direction of the Assistant Director submit Facilities support tickets for  classroom and building issues throughout the program
  • Assist with classroom logistics technology access and conduct classroom space and attendance checks with Instructional Support to ensure rooms meet program standard
  • Assist instructors in the classroom when they require additional assistance with in-class technologies
  • Coordinate the acquisition and organization of course materials by communicating with instructors to confirm supply needs costs and alignment with program budgets and University compliance
  • Perform outreach to internal and external vendors to secure materials manage orders and coordinate delivery logistics to ensure timely fulfillment
  • Maintain a centralized database to track print requests and inventory supply check-outs returns and replenishment across all courses
  • Upload and organize invoices receipts and purchase orders in Google Drive
  • Coordinate the pickup and distribution of packages
  • Partner with SPS Events and Central Facilities teams catering services and external vendors to support event logistics technology needs accessibility accommodations and transportation of event materials
  • Support planning and execution of academic and community-building events including Master Class Moments Instructor Receptions and Instructor Check-In by ensuring seamless setup execution and breakdown

Social media support

  • Capture and curate photos and stories highlighting the Pre-College student experience in New York City
  • Create and post engaging content for the Pre-College Instagram and other platforms ensuring compliance with University media release policies
  • Support content planning and coordination across teams to promote events and community engagement

Field trip support

  • Serve as a primary field trip chaperone ensuring student safety attendance tracking and adherence to University protocols
  • Communicate with instructors TAs and vendors regarding itineraries transportation and permissions and serve as point of contact
  • Execute safety briefings and ensure all students and instructors are made aware of transportation safety and University field trip protocols including compliance with Protection of Minors
  • Maintain and update the Emergency Kit inventory and ensure Field Trip Bags and Envelopes contain all required materials
  • In collaboration with the Assistant Director assist in the coordination of field trip logistics which includes bus reservations supplies entry fee payments and the distribution collection and tracking of permission forms as needed
  • Track and report attendance and incidents during field trips by maintaining contact with program directors for updates and instructions

Performs other duties and projects as assigned or requested.

This position involves a considerable amount of physical activity and movement around campus and New York City.


Qualifications :

Minimum Qualifications

  • High School diploma or High School equivalency diploma

Preferred Qualifications

  • Experience working with youth in an educational or recreational setting

Additional Requirements:

  • Must undergo and pass a mandatory background check
  • Must be available to work shifts as scheduled; standard shift times include 8am-4pm 9am-5pm and 10am-6pm
  • Strong communication and problem-solving skills and attention to detail
  • Familiarity with NYC public transportation or a willingness to learn

Additional Information :

The rate of pay for this role is $26.00/hour
