Role Overview

M365Consult is seeking an experienced Microsoft Teams Voice & Calling Specialist to design and operate a cost-effective scalable AI-powered calling solution for sales outreach and customer engagement. The role focuses on building an affordable alternative to standard Microsoft Calling Plans by combining Microsoft Teams Phone System with third-party VoIP providers while enabling call recording AI transcription/summaries and global landline number management.

Key Responsibilities

1. Cost-Optimized Voice & Calling Setup

  • Identify and integrate cost-effective thirdparty VoIP providers instead of relying solely on Microsoft Teams Calling Plans.
  • Configure Microsoft Teams Phone System with Direct Routing or SIP trunking to support affordable international and domestic calls.
  • Research purchase and manage landline numbers across multiple regions for outreach campaigns.
  • Ensure the chosen solution is scalable flexible and resilient.

2. Outreach & AI-Powered Enhancements

  • Implement a highly scalable calling system tailored for highvolume outreach campaigns.
  • Configure automatic call recording and secure storage.
  • Set up AI-generated call transcriptions summaries and insights to improve follow-up quality and CRM updates.
  • Ensure recorded calls and transcripts integrate seamlessly with CRM tools such as Salesforce HubSpot and Dynamics 365.

3. Call Flow & Auto Attendants

  • Design Auto Attendants (IVR) Call Queues and business-hours routing for efficient inbound handling.
  • Optimize call workflows to maximize agent productivity and minimize dropped or missed calls.
  • Implement escalation paths for missed or high-priority calls.

4. Security Compliance & Quality Monitoring

  • Ensure calling and recording practices comply with GDPR HIPAA and applicable telecom regulations.
  • Configure secure storage and access controls for recordings and transcripts.
  • Use Call Quality Dashboard (CQD) and related tooling to monitor and improve voice quality and reliability.

5. CRM & Business App Integration

  • Integrate Teams Calling and/or alternative VoIP platforms with CRM and other business systems.
  • Automate call logging transcript storage and AI insights to support sales and account management workflows.
  • Provide dashboards and reports covering call activity engagement rates and lead-conversion trends.

6. Administration & Number Management

  • Purchase port and manage landline numbers in multiple geographies.
  • Coordinate with telecom carriers for provisioning routing and troubleshooting.
  • Maintain an uptodate inventory of phone numbers routing policies and cost structures.

Qualifications & Skills

  • 3 years of experience in Microsoft Teams Voice VoIP and telephony solutions.
  • Strong handson expertise with Microsoft Teams Phone System Direct Routing and SIP trunking.
  • Practical experience with third-party VoIP providers (e.g. Twilio Zoom Phone RingCentral 8x8 Vonage Dialpad Aircall).
  • Proven ability to design costefficient calling solutions without compromising voice quality.
  • Familiarity with AI transcription services (e.g. Microsoft Copilot ).
  • Experience in landline number procurement porting and telecom administration.
  • Solid understanding of VoIP security compliance and callrecording regulations.
  • Experience integrating telephony with CRM and business applications (Salesforce HubSpot Microsoft Dynamics).
  • PowerShell scripting and Microsoft Graph API knowledge is a plus.
  • Certifications such as Microsoft Teams Voice Engineer (MS720) are highly preferred.
