The client is a U.S.-based regulated business requiring accurate accounting payroll compliance filings and financial reporting. The successful candidate will support financial operations and regulatory obligations ensuring timely accurate and compliant execution.
JOB SUMMARY
We are seeking a senior Accounting & Administrative Assistant to serve as the primary bookkeeper during their assigned shift under Director oversight. This is an accounting-first role supporting core finance activities including P&L reporting customer invoicing compliance filings and financial reconciliation. More than one hire may be engaged to cover multiple shifts.
Requirements
KEY RESPONSIBILITIES
Primary Duties:
- Act as the main bookkeeper during assigned shift
- Produce weekly profit and loss reports
- Manage customer invoicing pipeline tracking and payment follow-up
- Prepare and submit tax filings licenses and other compliance documents (U.S. entities)
- Maintain bookkeeping and full-cycle accounting in QuickBooks Enterprise
- Manage accounts payable and receivable
- Complete bank and credit card reconciliations
Additional Duties:
- Maintain a tailored Chart of Accounts
- Record and categorize all financial transactions
- Maintain all federal state county and city licenses and ensure timely renewals
- Track and update insurance documentation
- Identify and resolve financial discrepancies
- Provide basic administrative and CRM support
- Document client intake calls and escalate as needed

Required Skills:
At least 4 years experience in executive assistant or in a similar administrative role Experience with an Accounts Administration Role Proficiency in office software and productivity tools. Quickbooks Experience. Ability to work independently and collaboratively Desired Skills or Qualifications: Intermediate MS Excel and MS Word Certification Strong organizational and multitasking skills with meticulous attention to detail. Excellent written and verbal communication skills. Prior experience in rental properties a plus
