Reporting to the Director of Auxiliary Services or designee thePart-Time Events Coordinator 1 will provide support services to the Kaminski Conference Center. This position supports event coordination by assisting with communications logistics and limited technical support. The coordinator will triage incoming requests via phone email and walk-ins; conduct tours; assist in tracking requests; and provide front-line troubleshooting of multimedia and conferencing equipment. This role will also help maintain documentation coordinate with support teams and ensure users receive timely and professional assistance. While complex issues will be escalated to appropriate departments this position plays a critical role in documenting requests and supporting an effective customer-focused event experience.

The Part-Time Events Coordinator 1 is an in person 60% full-time classified position; the beginning salary is $1879.20 a month. This position requires a flexible schedule with 96 total hours per month. The shift will include early mornings weekends and evenings for Kaminski Conference Center events.

Essential Tasks

  • Review and prioritize facilities use/event/Kaminski Conference Center requests to ensure effective use of space and adherence to policies
  • Identify common problems and refer complex technical issues to specialized staff as needed
  • Confirm scheduled events and communicate with appropriate internal departments to coordinate services
  • Inspect meeting areas before events and report any maintenance or setup needs
  • Help manage inventory of expendable items and supplies for events
  • Participate in quarterly coordination meetings and other duties as assigned
  • Support or refer users with computer AV or conference system usage including microphones projectors displays and conferencing tools
  • Assist in planning and coordinating support services for events including single/multi-day conferences and workshops
  • Support light troubleshooting using pre-determined methods and knowledge base articles for low risk technology or AV issues; escalate others as appropriate
  • Provide tours of the Kaminski Conference Center and explain available multimedia equipment and services
  • Answer inbound calls and respond to facility rental and event inquiries via email and phone
  • Monitor and respond to Tier 1 scheduling and event support requests from the helpdesk or Auxiliary Services
  • Use helpdesk ticketing system to accurately log inbound support requests and solutions

Qualifications

MINIMUM QUALIFICATIONS:

  • High School diploma or equivalent.
  • Two years of full-time clerical experience OR
  • Equivalent education/experience.

PREFERRED QUALIFICATIONS:
  • An earned associates degree.
  • Experience working in higher education.

PHYSICAL REQUIREMENTS:
  • Requires the ability to lift carry push and pull objects up to 50 pounds.
  • Bending at the waist; kneeling and squatting/stooping; repetitive arm/hand movement (extending the hands and arms to seize hold and grasp).
  • Reaching above shoulder level (including stretching upwards on tiptoe maintaining balance); and standing for long periods of time.

SCHEDULE:
  • Will work some early mornings nights and weekends.
