Job Summary

Position Summary

Responsible for the timely preparation processing reporting distribution and accounting of payroll funds.

Salary: Appropriate placement on ACCS Salary Schedule E3 Grade 04: $39759 - $57251

(Salary placement within this range is determined by your documented years of full-time related work experience)

Work Hours: Monday through Thursday 7:45 a.m. - 5:15 p.m.; Friday 7:45 a.m. - 11:45 a.m.

Essential Duties and Responsibilities

  1. Process non-exempt staff timesheets by checking for accuracy.
  2. Process and review monthly employee leave to ensure accurate timely posting and compliance with leave policy. Maintain leave records and make adjustments to employees leave when appropriate.
  3. Review time sheets wage computation and other information to detect and reconcile payroll discrepancies.
  4. Audit timesheets for accuracy and assists in the timely processing of monthly payroll cycles.
  5. Process Teachers Retirement applications and remit monthly contributions.
  6. Verify salary and GL Numbers.
  7. Re-calculate and input salary if necessary to adjust to payroll.
  8. Assist in processing employees changes of deductions updating payroll records and preparing and issuing checks.
  9. Prepare and submit garnishments correspondences and provide verification for various agencies
  10. Alert supervisor of any issues that are in need of management attention.
  11. Complete Unemployment Compensation forms on former employees seeking to draw Unemployment Compensation benefits.
  12. Load eligible employees into the ESS enrollment portal of insurance coverage and COBRA.
  13. Operate Ellucian Banner and the MS Office Suite (Word Excel Access Power Point etc.) to support the day-to-day duties of the office.
  14. Scan and index documents to Banner for BDMS retrieval.
  15. Assist with the preparation of reports forms and other correspondence.
  16. Coordinate annual Benefit Fair and Employee Health Screening events.
  17. Assists with the end of month/fiscal year-end reconciliation and closeout processes.
  18. Maintain knowledge of payroll laws and regulations and keep abreast of ever-changing federal state and local rates and guidelines mandated by the state and the Alabama Community College System as required.
  19. Assists employees with payroll inquiries including leave retirement insurance benefit claim issues plan changes etc.
  20. Process verbal and written employment verifications.
  21. Assist with balancing year-end payroll records verify totals and mailing appropriate documents to employees as required by law.
  22. Verify year end records process and mail appropriate documents with regard to the Affordable Care Act and the State of Alabama Truth and Salary Act.
  23. Record employee information such as exemptions transfers and resignations to maintain and update payroll records.
  24. Issue and record adjustments to pay related to previous errors or retroactive increases.
  25. Perform all duties with professionalism.
  26. Perform related duties as assigned.


Qualifications

  1. A minimum of one (1) year (32 semester hours) of postsecondary education from an accredited institution with a minimum of 16 semester hours in accounting or related field and a minimum of one (1) year of related work experience in timekeeping or payroll processing is requiredOR a minimum of a high school diploma or equivalent and a minimum of five (5) years related work experience in timekeeping or payroll processing isrequired.
  2. Ability to utilize Microsoft Office programs for basic computer work specifically Excel for keeping reports and calculations is required.

  14. Ability to multi-task and prioritize issues;
  15. Ability to utilize email systems to communicate information;
  16. Ability to work with minimal supervision/work independently;
  17. Ability to operate in a professional manner at all times;
  18. Ability to apply basic math principles to calculate percentages for manually calculating payroll deductions;
  19. Ability to use Ellucian Software for processing payroll;
  20. The ability to check/verify information;
