Job Summary

Introduction

The Maryland Department of Disabilities (MDOD) is seeking a Projects Coordinator for the Telecommunications Access of Maryland (TAM). TAM provides equipment and services for Marylanders who have difficulty using a telephone. TAM administers both Maryland Relay the free public service that allows people who are unable to use a standard telephone to make and receive calls; and the Maryland Accessible Telecommunications (MAT) program which distributes State-provided assistive telecommunications equipment to qualified applicants.

This Position is eligible for Telework.

This position is limited to current employees of the Maryland Department of Disabilities.

POSITION DUTIES

This position provides executive-level administrative support front-desk coverage project coordination and content development for Telecommunications Access of Maryland (TAM). The incumbent supports special projects such as office relocations program implementation training material development and leads the creation of digital and print content that promotes Maryland Accessible Telecommunications (MAT) Maryland Relay and related TAM programs. By ensuring efficient office operations coordinating with vendors and partner agencies and developing accessible engaging communications (e.g. social media posts videos FAQs graphics and training materials) this position supports TAM s mission to provide accessible telecommunications services and equipment to Marylanders with disabilities.

Position duties include but are not limited to:

Front Desk and Secretarial Support
  • Provide front-desk coverage including monitoring the office entrance answering telephones admitting and welcoming staff and authorized visitors.
  • Schedule appointments and meetings for the supervisor and designated TAM staff resolving basic calendar conflicts and confirming details with participants.
  • Act as an intermediary for the supervisor maintaining contact with constituents professional staff community partners and local organizations; triage inquiries and determine which require supervisor attention.
  • Open sort read (as needed) and distribute incoming correspondence emails and messages to appropriate staff flagging time-sensitive items.
  • Prepare correspondence meeting agendas minutes and other documents
Program and Project Coordinator
  • Provide project-specific assistance to the Director including scheduling meetings and fielding inquiries from external actors or other State partners.
  • Provide administrative support for implementation of new and existing TAM programs and procedures including tracking timelines tasks and deliverables.
  • Assist in planning and overseeing the disposal of surplus property in accordance with DGS and agency procedures.
  • Support office projects including maintaining inventories coordinating packing and labeling handle surplus furniture and electronics disposal and set-up and tear-down tasks.

    Content Creation
    • Serve as a content creator for TAM developing social media posts; short-form videos; training videos or tutorials; FAQs; and graphics.
    • Script film and edit social media and training videos ensuring appropriate use of captions plain language and other accessibility features; coordinate with staff and external partners for on-camera participation as needed.
    • Design graphics for use on social media the web presentations and print materials (e.g. flyers posters handouts) following TAM branding and accessibility standards.
    • Draft and update FAQs how-to guides and simple training materials for use on the website in presentations and at outreach events.

    Outreach Support
    • Work with the Outreach Manager and supervisor to plan and maintain a content calendar for social media web content and other communication channels aligned with agency priorities and state communications guidelines.
    • Collaborate with the Outreach Manager and TAM staff to identify new content needs based on common questions emerging issues or new program offerings.
    • Maintain a schedule of all ongoing meeting times and dates for local disability advocacy organizations and community groups such as the Maryland Association of the Deaf Hearing Loss of America and others affiliated with users of relay services General Support with Records and Other Duties
    • Maintain organized electronic and paper filing systems for projects and communications records.
    • Assist with simple data tracking and reporting related to projects outreach activities and content performance as directed.
    • Support logistics for outreach events and trainings (virtual or in-person) including preparing materials coordinating registrations and sharing event information through TAM channelsSupervisor and Outreach Manager.

    Universal Service Trust Fund Monitoring
    • Update spreadsheet tracking Universal Service Trust Fund payments from Maryland-based telecommunications carriers.
    • Identify missing or inaccurate remittances and follow up for remedy.
    • Communicate with carriers as needed to share any changes to the Universal Service Fee.

    MINIMUM QUALIFICATIONS

    Education:Graduation from an accredited high school or possession of a high school equivalency certificate.

    Experience: Three years of administrative staff or professional work.

    Notes:
    1. Candidates may substitute 30 college credit hours from an accredited college or university for each year up to twoyears of the required experience.

    2. Candidates may substitute the possession of a Bachelors degreefrom a college or universityfor the required experience.

    3. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included the regular use of independent judgment and analysis in applying and interpreting complex administrative plans policies rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the requiredexperience.

    DESIRED OR PREFERRED QUALIFICATIONS

    Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.
    • Experience performing administrative clerical or program support work involving tasks such as greeting visitors scheduling data entry filing or processing mail.
    • Experience coordinating meetings (in-person or virtual) including scheduling sending calendar invitations and arranging basic logistics (e.g. room setup or virtual meeting links).
    • Experience creating basic digital content such as short videos social media posts flyers FAQs longer video tutorials graphics or other outreach or training materials.
    • Basic proficiency with standard office software including Microsoft Office (Word Excel Outlook) and Google Workspace (Docs Sheets Gmail Calendar) including comfort using spreadsheets for simple tracking and reporting.
    • Ability to organize and prioritize multiple tasks follow instructions and meet deadlines with general supervision.
    • Ability to communicate clearly and professionally with callers visitors community partners and staff verbally in writing and in American Sign Language.
    • Experience working in a State or local government office or familiarity with State government administrative or procurement processes.
    • Experience working with or providing services to people with disabilities or demonstrated awareness of accessibility and disability-related issues including the importance of accessible communications and training materials.

    Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operators license valid in the State of Maryland.
