Contract: Full-time (3-month probation period) 10 days paid leave pro rata With Holidays
Salary: $1300 $1900 USD per month depending on experience
Start Date: Immediate

About the client:

The client is an Entrepreneur and CEO seeking a high-level Executive Assistant to provide operational administrative and strategic support across multiple ventures. The primary and immediate focus is a property development business (commercial to residential) with future involvement in online education retail and scripted filmmaking.

This role requires someone proactive highly organised calm under pressure and capable of building structure stability and high standards across fast-moving projects.

Role Overview

The Executive Assistant will act as the central support to the CEO managing operations systems communication and reporting. You will ensure priorities are executed workflows are aligned and nothing falls through the cracks starting with the Property Development company.

Key Responsibilities

Executive & Operations Support
Deliver structured updates track all tasks manage priorities and highlight risks
Anticipate needs improve systems and maintain SOPs
Ensure consistency across tools documentation and workflows
Develop KPIs and reporting to improve performance

Communication CRM & Admin
Manage calls inbox support diary scheduling and meetings
Manage HubSpot CRM (contacts tasks deals pipelines)
Prepare presentations documents and executive communications
Oversee GDPR/ICO compliance and general admin

Marketing Events & Coordination
Support LinkedIn and content coordination
Organise launches networking events and travel
Coordinate with VAs and external partners

Finance & Office Support
Basic bookkeeping in Xero (invoices expenses VAT support)
Assist with company policies and operational readiness

Property Development (Core Focus)

Maintain tracking pipelines and reporting systems
Create First Pass DCAS and Market Comparison reports
Conduct property and market research
Support contractor sourcing quotations and documentation
Assist with compliance RAMS O&M documents and site-office coordination
Provide property-specific bookkeeping support


Ideal Candidate

Highly organised proactive and reliable
Strong communicator with executive-level writing skills
Confident with spreadsheets reporting and new systems
Able to multitask across businesses and shifting priorities
Experienced with bookkeeping and Google Workspace Microsoft Office and project tools (Asana Monday etc.)
Professional discreet and collaborative
