The Calgary West Central Primary Care Network (CWC PCN) is a non-profit organization committed to a healthier future. We work alongside more than 490 family doctors to provide support for continuous health care.

We are seeking a part-time Medical Office Assistant (MOA) to provide administrative support to the CWC PCN clinical team and play a key role in the organization and flow of clinic operations. This position is located at our Primary Care Centre (PCC) located at 5960 Centre St SE Calgary. Appointments at the PCC are by referral only for people in need of an appointment within 24 hours and whose doctor is a member of the CWC PCN. This clinic provides an alternative to the walk-in system or a visit to the ER.

This is an evening position and the hours of work are Monday - Friday from 4:30 p.m. 9:00 p.m.

Responsibilities

Front desk/reception

  • Answer and direct calls from a multi-line switchboard and relay messages to appropriate individuals as required.
  • Receive greet and direct clients vendors and visitors and respond to general inquiries in a professional and positive manner.
  • Book new and follow-up appointments and provide confirmation calls to patients as required.
  • Fax outgoing visit notes consult letters and appointment notifications to referring physicians.
  • Receive sort and direct incoming packages mail and faxes.
  • Support and monitor physician billing.
  • Collect payment for uninsured services via point-of-sale terminal.
  • Escort patients to consulting rooms and collect and enter patient vitals in the Electronic Medical Record (EMR).
  • Monitor the patient waiting area and assist with ordering taxi services and directing patients to specialist clinics as required.
  • Ensure the clinic is stocked with stationery and general office supplies.
  • Adhere to and maintain IPC protocols and use appropriate PPE as required.

EMR management

  • Process incoming referrals and populate/update/validate patient information in the EMR.
  • Scan and link patient documents in the EMR.
  • Access medical records via Alberta Netcare.
  • Enter statistical data for the collection of key performance measures for organizational and provincial reporting.
  • Support attachment efforts for unattached patients via the online web registry and the list of physicians accepting patients and document attachment status in the EMR.


Requirements

Education: Completion of a Medical Office Assistant/Unit Clerk certificate program is required.

Experience: A minimum of two years front desk or customer service experience is required. Relevant healthcare experience preferably in a primary care setting is required. Knowledge of primary healthcare and billing diagnostic and services codes is an asset.

Functional knowledge: Knowledge of health information privacy regulations and proper handling of confidential and sensitive information is required. Knowledge of medical terminology and medical records management is required. Knowledge of primary healthcare and billing diagnostic and service codes considered an asset. Knowledge of IPC protocols and proper PPE usage is an asset.

Technical: Experience with EMR systems is required. Experience with Telus Healths Collaborative Health Record (CHR) EMR is an asset. Experience with the Microsoft Office suite is an asset.

Backgroundcheck: A clear Criminal Background check is required to start.
