The Project Administrator is in charge of helping with the day-to-day and administrative tasks of projects that involve multiple teams working from different locations. This job makes sure that project plans schedules budgets paperwork and communication are all kept up to date and done well. The Project Administrator works with project managers team members and stakeholders to make sure that projects are done correctly and on time while following the rules and procedures of the organization.
Main Duties:
Help project managers plan schedule and organize the work that needs to be done on a project.
Keep project documents up to date such as plans reports meeting minutes and letters.
Keep track of project deadlines milestones deliverables and budgets.
Set up meetings make agendas and make sure that project teams and stakeholders can talk to each other.
Make and send out dashboards and reports on the status of the project
Help with vendor contracts purchase orders and invoices when needed
Keep an eye on project risks problems and action items and make sure they are followed up on in a timely manner.
Follow company rules when keeping project filing systems databases and electronic records up to date.
Encourage following project management methods and standards
Do general office work to keep the project running smoothly.
Required Skills:
A bachelors degree in business administration project management or a related field (or the same amount of experience)
At least 2 to 5 years of experience managing or coordinating projects
Ability to use project management software like Microsoft Project Asana Jira and Smartsheet
Good at organizing managing time and doing more than one thing at once
Good at talking and writing clearly
Paying attention to detail and making sure documents are correct
Ability to work alone and get things done quickly in a fully remote setting
Being good at using Microsoft Office Suite (Word Excel PowerPoint and Outlook)
Preferred Qualifications:
Experience helping with complicated projects that involve more than one team
Knowing how to keep track of budgets send invoices and buy things
Knowledge of Agile Scrum or other ways to manage projects
CAPM (Certified Associate in Project Management) or PMP (Project Management Professional) certification in progress or already earned
Pay for the Year:
Depending on experience qualifications and where you live the salary range is between $55000 and $80000 per year.
