Introduction:
Native Hawaiian Career & Technical Education Program (NHCTEP) is responsible for providingsupport to ensure Native Hawaiian students who are pursuing degrees in Career TechnicalEducation (CTE) programs to both graduate and find employment in their chosen fields. TheStudent Services Specialist is responsible for supporting the Kulia ma Kapiolani Project Coordinator incoordinating the NHCTE program and working collaboratively with other APT and facultyemployees who support Native Hawaiian student participation and success in CTE programs.This position provides direct support to the student beneficiaries and is critical to meeting grantreporting requirements for the U.S. Department of Education Native Hawaiian CTE Program.
Duties and Responsibilities

Provides administrative assistance to the Project Coordinator through direct student support correspondence record keeping file maintenance scheduling meetings monitoring office supplies managing activity and events calendar and overall office organization
**Assists with grant development implementation and evaluation including supporting the preparation and submission of applications drafting budgets and narratives and conducting research on grant objectives.
**Develops and maintains databases for program activities such as curriculum student recruitment enrollment graduation and attrition;
Assists in analyzing and interpreting data to generate reports for evaluations and presentations.
**In consultation with the Project Coordinator helps organize and plan meetings conferences workshops and training events including developing agendas identifying stakeholders and managing registration.
**Supports student outreach and recruitment efforts through program activities such as information sessions career fairs and community events.
**Provides support by preparing correspondence project management timelines progress reports and presentation materials; assists in gathering and analyzing information for the Project Coordinator.
Assists in fiscal and procurement related program activities including preparing and processing purchase orders payments travel requests contracts stipends and related documentation in compliance with agency federal state and UH policies.
Supports monitoring of project budget information expenditures and financial statements;
Assists with the creation of financial spreadsheets audits reconciliations and monthly invoices to ensure compliance with funding agency requirements.
Helps track and prepare documents related to funding and account NTE dates changes and extensions.
Provides assistance in monitoring financial data within KFS and RCUH systems to support compliance with OMB Uniform Guidance and sponsoring agency requirements (Alu Like Inc. and U.S. Department of Education).
Assists with developing and implementing metrics gathering information to analyze trends and assessing program outcomes; contributes to program modifications and enhancements as needed.
Supports project coordinator with generating and edits reports agendas letters and documents (e.g. quarterly reports) requiring specific formatting.
Keeps current with University policies procedures regulations directives and applicable state and federal requirements.
Duties may include evenings and weekends as needed.

Minimum Qualifications
Possession of a baccalaureate degree in Business Administration Public AdministrationSocial Sciences Humanities or related fieldand1 year of progressively responsibleprofessional experience with responsibilities for student services or related work; or equivalent education/training or experience.
Functional knowledge of principles practices and techniques in the area of Student Affairs and Student Support demonstrated by knowledge understanding and ability to apply concepts terminology.
Functional knowledge and understanding of federal and state lawsrules regulations and theories and systems associated with Student Affairs and studentsupport.
Demonstrated ability to recognize problems identify possible causes and resolve the full range problems that may commonly occur in the area of Student Affairs.
Demonstrated ability to understand oral and written documentation write reports and procedures and communicate effectively in a variety of situations.
Demonstrated ability to establish and maintain effective working relationships with internal and external organizations groups team members and individuals.
Demonstrated ability to operate a personal computer and apply word processing software.
Desirable Qualifications
Possession of a Masters degree in Business Administration Public AdministrationSocial Sciences Humanities or related field.
At least one (1) year of professional work experience with post-award administration of federal contracts and grants.
At least one (1) year of professional work experience in financial management at a university setting.
Familiar with the Kuali Financial System (KFS) Research Corporation of the Universityof Hawaii (RCUH) eTravel myGRANT and/or other University of Hawaii systems.
Demonstrated ability to interpret state and federal regulations and mandates specificallyas they apply to the fiscal matters procurement grants and contracts to ensurecompliance.
At least one (1) year of professional work experience in extramural funded activities grant program support evaluation budgetmanagement and report writing.
