Who you will work with
You provide support to lawyers and work as a team with Practice Support Coordinators on activities which are essential to the proper functioning of the Paris office. You also work closely with all the other Business Professionals teams.
What you will be responsible for
Secretarial/Administration services:
- Document production
- Prepare reconcile submit Expense Reports
- Phone line management (answering and directing calls)
- Print/copy/bind/mail DPU liaison where applicable
- Document archiving e-filing activities
- Update of listing rules where applicable
- Distribution lists/telephone lines update
- Calendar/Diary Management
- Email management (prioritising drafting organising monitoring filtering)
- Team coverage
- Bibles management post-closing process
- Dossiers de plaidoirie
BD Support Services
- InterAction entries
- Tracking BD activities
- Support on Powerpoint presentations
- Support on CVs updates
- Support on events organisation
Meeting arrangement
- Practice/group meetings
- Practice/group training
- Practice/group dinner/lunches/drinks
- Other external/internal meeting arrangement
- Noting minutes and actions
- Visitor arrangements
- Seminar questionnaire summaries
- External seminar applications
Travel arrangement
- Ticketing booking Itinerary preparation
HR
- Follow-up of applications on Taleo
- Validation of absence requests on ADP
- Follow-up on lawyers appraisal meetings coordination with HR
- Follow-up of Academy online mandatory training
Best Delivery and K&I:
- In collaboration with Practice Support Coordinators: advise Partners / Associates on the use of Best Delivery tools (CC Connect Workshare transact Template automation)
- Support in the preparation of newsletters and client briefings knowledge database updates maintenance of topic guides/information hubs on the intranet
Projects
- Provide support as required such as generating reports preparing presentations coordination etc.
Qualifications :
Your career experience so far
You have excellent French and English communication skills both verbal and written.
You have intermediate/advanced IT skills including web search MS Word PowerPoint Outlook Excel.
Exceptional team player and ability to work autonomously you are used to work in a demanding environment.
You have excellent organisational skills with particular attention to details.
Willingness and enthusiasm to work with and support different groups within the firm as required.
You are able to manage multiple activities at the same time and prioritize tasks appropriately.
You are motivated by customer satisfaction (external and internal).
You have excellent work ethic and are proactive and motivated to learn.
