Branch Facility Operations-Surat-40k
Experience:A minimum of 3-6 years of multi-location facilities and administration experience ideally from the BFSI sector.
Role
The facilities Coordinator would be responsible for the overall upkeep maintenance and operational readiness of all gold loan branches. This is a hands-on role requiring regular travel to each branch in Surat to ensure a secure professional and fully functional environment for both employees and customers. The coordinator will be the single point of contact for all infrastructure-related matters liaising with landlords architects contractors and vendors to ensure timely compliant and cost-effective solutions.
Responsibilities:
Branch Upkeep and Maintenance:

Conduct regular scheduled visits to each of the branches to perform facility audits and ensure adherence to company standards.

Proactively identify and address maintenance issues including but not limited to electrical plumbing HVAC and civil works.
-
Implement and manage a preventive maintenance schedule for all critical branch equipment such as generators air conditioners and security systems.

Asset Management:Maintain a detailed Fixed Asset Register for all branches tracking furniture fixtures and equipment.
Infrastructure and Project Management:

Act as the primary point of contact for any new branch set-up or renovation projects.

Coordinate with architects contractors and interior designers to ensure new branch layouts and designs meet company specifications and are completed within the stipulated timelines and budget.

Address and resolve any immediate infrastructural emergencies or breakdowns with a sense of urgency.
Vendor and Landlord Management:

Develop and maintain a reliable network of local vendors and contractors for various maintenance and repair services.

Process and verify vendor invoices ensuring they are in line with the work performed and the agreed-upon terms.

Serve as the primary liaison with the landlords of all branch premises.

Manage all landlord-related communication including lease agreement tracking renewals rent payments and addressing any property-related concerns or disputes in a timely manner.
Budgeting and Cost Control:

Assist in the preparation of the annual operations and maintenance budget for the branch cluster.

Track all maintenance and facility-related expenditures against the approved budget providing regular reports to management.

Actively identify and implement opportunities for cost savings without compromising on quality or security.

Manage utility consumption (electricity water) across all branches analyzing usage and implementing measures for optimization and efficiency.
Compliance and Security:

Emergency Preparedness & Business Continuity:Be the first point of contact for facility-related emergencies (e.g. fire flooding major power failure) and coordinate the immediate response to minimize downtime.

Ensure all branches are compliant with local municipal regulations health safety and fire codes.

Coordinate with the security team to ensure all physical security infrastructure such as CCTV cameras alarms and strong room specifications are functioning correctly and meet the companys high-security standards.

Maintain all necessary documentation related to branch licenses permits (e.g. Shops and Establishment) and regulatory compliance ensuring timely renewals.
Reporting:

Prepare and submit regular MIS reports on facility operations including maintenance activities vendor performance compliance status and budget utilization.
