Role Overview

The Chief of Staff is a senior operational leader and internal integrator who serves as the CEOs right-hand partner. This role exists to protect the CEOs time focus and decision-making capacity by owning operational flow communication filtering accountability and execution cadence across the organization.

This is not an assistant role. It is a leadership position responsible for building structure enforcing priorities and ensuring the business runs calmly predictably and without constant CEO involvement. The Chief of Staff enables the CEO to focus on strategy capital decisions deal structuring and high-leverage relationships.

Key Responsibilities

CEO Time Focus and Input Protection

  • Own and manage all business-related communication on behalf of the CEO.
  • Decide what information reaches the CEO and what does not.
  • Draft respond to and route communication independently unless judgment risk or material impact is involved.
  • Own the CEOs calendar scheduling travel and meeting preparation.
  • Eliminate low-context meetings cold requests and non-priority commitments.
  • Ensure the CEO shows up prepared focused and with the right information.

Operational Oversight and Accountability

  • Directly manage internal VAs and oversee their execution quality.
  • Ensure tasks deadlines and deliverables are completed consistently.
  • Coach train and hold team members accountable to defined standards.
  • Identify execution gaps and resolve them without escalation.
  • Maintain quiet consistent execution across the business.

KPI Ownership and Execution Cadence

  • Create and maintain KPIs aligned with business objectives.
  • Build daily weekly and monthly reporting rhythms.
  • Run or oversee operational huddles and check-ins.
  • Ensure meetings have agendas outcomes and documented follow-up.
  • Provide concise summaries and recommendations to the CEO.

Process SOP and Decision Support

  • Own the creation validation and enforcement of SOPs.
  • Pressure-test workflows and refine processes as needed.
  • Build systems that scale and persist beyond individuals.
  • Make routine operational decisions independently.
  • Escalate only when legal reputational or material financial risk exists or when strategic judgment is required.
  • Prioritize speed and momentum using sound logic.

Requirements

Hard Requirements (Non-Negotiable)

  • Proven experience operating as a senior right-hand to a founder or executive (Chief of Staff Operations Lead Integrator or equivalent).
  • Ability to run operations independently without constant direction.
  • Strong command of executive-level calendar communication and priority management.
  • Experience managing and holding VAs or operational staff accountable.
  • Ability to define track and report against KPIs with clear execution cadence.
  • Proven experience building documenting and enforcing SOPs.
  • High proficiency with operational tools task management systems and reporting workflows.
  • Sound decision-making judgment with a clear escalation framework.
