We are seeking an Administrative Officer to support our firm.
Key Responsibilities:
- Coordinating the Administrative Department team facilitating administrative actions and duties and reporting to senior office/operations management.
- Coordinating with our head office (Tokyo) regarding administrative arrangements.
- Handling the office building lease rental and building safety regulations compliance matters (collaborating with IT officers and Accounting/Finance officers).
- Managing facility assets including leasing tools and furniture maintaining facilities (collaborating with IT officers and Accounting/Finance officers).
- Managing/handling vendors relating to administrative matters.
- Handling all aspects of signage tax travel insurance and logo merchandise.
- Processing stamp duty affixation/payment and filing engagement letters.
- Preparing operation manuals for employees.
- Supporting internal events and CSR initiatives.
- Identifying categorizing and indexing documents in an electronic document management system including managing our office policies regulation and rules.
- Managing book or document retrieval from outsourced storage.
- Controlling online databases and conducting research - CorpusX Computer Law (Supreme Court Search) etc. and performing basic research.
- Collaborating with the Human Resources team to schedule regular staff events and training.
- Researching training needs and supporting training sessions to enhance employees skills.
- Collaborating with General Counsel section Compliance section Information Security Committees etc. of our head office (Tokyo) and our offices lawyers who are admitted by Thai law for enhancing our offices legal environment (alignment of global policy with Thai law and managing legal document forms).
- Collaborating with Business Development and Public Relation sections of our head office (Tokyo) and our office to support the N&A groups branding.
- Leading new projects which will be launched in collaboration with our Tokyo office other section members and Office Managers.
- Supporting administrative and accounting issues for affiliated companies.
- Assisting Office Managers along with Human Resources teams senior officers to promote/improve office management.
- Any other necessary tasks.
Qualifications:
- Bachelors degree in a related field.
- Excellent written and verbal communication skills in both Thai and English.
- Strong organizational skills for multitasking and prioritizing responsibilities.
- Excellent interpersonal and coordination skills.
- Experience with 3E iManage and Workday apps will be advantageous.
- Willingness to learn and use new research materials and practice tools.
- Ability to lead and provide mental support to team members.
