Job Summary

Qualifications:

  1. High School diploma or GED
  2. Clerical experience preferred
  3. Proficient in Google Workspace applications including Docs Sheets Slides and Gmail.
  4. Experience with school/special education records

FSLA Status:Non-Exempt

Reports To:Director of Special Education

Background Check Required: (Ala. Code 16-22A-5)-Upon offer of employment employees will be required to submit legible fingerprints for a background review by the Alabama Bureau of Investigation and the Federal Bureau of Investigation. Background checks must not be more than 10 years old.

Required Knowledge Skills and Abilities:

  1. Organizing and coordinating skills
  2. Knowledge of budgetary process
  3. Knowledge of organizational structure work flow and operating procedures
  4. Ability to keep business matters confidential
  5. Ability to type 50 words per minute
  6. Proficiency in MGoogle Workspace applications including Docs Sheets Slides Gmail and PowerSchool Special Programs.
  7. Ability to deal with people in person and on the telephone in a pleasant and courteous manner
  8. Ability to create compose and edit written material
  9. Ability to organize materials and maintain accurate records
  10. Ability to distribute documents in an efficient manner
  11. Ability to maintain and establish effective relationships within the workplace
  12. Physical and emotional ability and dexterity to perform required work and move about as needed in a fast-paced intensive environment
  13. Skills in organizing resources and establishing priorities
  14. Knowledge of structure policies and procedures of a large organization
  15. Ability to coordinate and organize meetings and special events
  16. Seasoned professional secretary to manage multiple priorities and to interact with a variety of people professionals and organizational entities

Essential Functions:

  1. Answer ALL telephone calls emails and take messages
  2. Collect and manage mail in an efficient and effective manner
  3. Establish and maintain databases as required
  4. Prepare reports and assist with projects as necessary
  5. Maintain annual special education budget as necessary
  6. Prepare emails and other correspondence as necessary
  7. Maintain applicable electronic databases files and programs as directed
  8. Maintain confidentiality and follow proper procedures with special education files
  9. Must be able to meet and interact with employees and parents/guardians in routine situations which require tact discretion and courtesy
  10. Assist with professional development/collaboration presentations special projects and provide clerical support for professional development including registration event planning and technology set-up
  11. Maintain all special education program records in compliance with State Federal and District guidelines
  12. Assist with the organization of the Extended School Year Program
  13. Process expense claims invoices and purchase orders for the special education staff/program
  14. Maintain inventory and order all department supplies and equipment
  15. Process all contracts with non-public agencies and specialists providing services for SPED Department
  16. Other related duties as assigned

  • This position will be subject to the Students First Act of 2011. Madison City Schools reserves the right to fill this position by transfer of a qualified applicant who is already employed by Madison City Schools.
  • Under the Students First Act of 2011 no credit toward tenure or non-probationary status is earned in the initial school year of employment if the date of hire occurs after September 30.

Expected Employment: 240 days/ 8 hrs. (full year)

Evaluation: According to established Board policies and administrative procedures and guidelines.

Salary Range:According to Madison City Schools Salary Schedule (Salary based on employment for complete year). Up to 10 years experience will be counted for new employees who provide documentation of full-time experience in the area of concentration.
