Job Summary:


Are you an organized detail-oriented problem solver who enjoys coordinating logistics and ensuring every piece is in place before a project begins As a Project Resource Specialist youll play a key role in preparing construction projects for success by managing pre-construction tasks such as permits utilities postal services and municipal coordination. Job Duties & Responsibilities:

Permitting Utilities & Municipal Coordination 30%

  • Research local permitting and utility requirements to support pre-construction planning
  • Coordinate with city officials to obtain permits approvals and compliance documents
  • Communicate with utility companies and ensure timely setup of necessary services
  • Collaborate with municipalities to resolve permitting or regulatory issues
  • Track permit applications and utility connection timelines to ensure project readiness


Documentation Records & Reporting 30%

  • Prepare and maintain detailed organized records of all communications applications and approvals
  • Manage project documentation including plans reports specifications and records
  • Print prepare and distribute pre-construction documents and project materials
  • Maintain accuracy and compliance within all documentation systems
  • Participate in regular meetings to highlight progress and determine next steps


Project Support Research & Administrative Assistance 25%

  • Conduct project-related research as needed
  • Assist with ordering sourcing and tracking materials
  • Provide support with bid preparation and filing
  • Facilitate communication between project teams and municipal stakeholders


Postal Services & Addressing Logistics 15%

  • Serve as the primary liaison with postal service representatives
  • Ensure accurate addressing and mail delivery coordination for new construction projects
Requirements

Qualifications:


Education & Experience:

  • An Associates Degree in construction business or related fields or an equivalent blend of education and experience preferred.
  • Prior working experience in the construction industry and general knowledge of construction processes
  • 2 years of experience in project coordination administrative support or a related role
  • Familiarity with project management software such as MS Project or Sage Construction Management
  • Proficiency in Microsoft Excel (data tracking spreadsheets reporting)
  • Proficiency in Microsoft Office (Word Outlook Teams)
  • Proficiency in PDF-Xchange Editor or Adobe Acrobat Pro
  • Valid drivers license with reliable transportation


Knowledge Skills & Abilities:

  • Effectively manage multiple tasks deadlines and documentation to support seamless pre-construction workflows.
  • Documentation Management & Accuracy (30%)
  • Maintain meticulous records ensuring complete accurate and up-to-date information throughout the project lifecycle.
  • Gather analyze and interpret permit requirements municipal procedures and project details to support project planning.
  • Interpersonal & Communication Skills (20%)
  • Build strong relationships with municipalities utilities postal representatives and internal teams through clear professional communication.

Physical Abilities:

  • Ability to lift and carry up to 40 lbs.
  • Must be able to remain in a stationary position for more than 50% of the time
  • Ability to communicate clearly in person via phone and through digital platforms


Special Requirements:

  • Ability to work 40 hours per week during normal business hours (MondayFriday 8:00 AM5:00 PM)
  • Occasional travel and site visits required

Work Environment:

This role operates primarily in a professional office environment working closely with project teams municipal representatives and company personnel. Some travel and field coordination may be required.
