Emerald Zebra is supporting a well-established financial services firm in Limassol Cyprus in the search for a skilled Lead Office Secretary to head its growing Administrative Department.

The Role:

We are seeking an experienced Lead Office Secretary to lead and develop a team of Office Secretaries and Receptionists across multiple offices. This role combines people leadership with hands-on operational excellence and close collaboration with senior management.


Key Responsibilities:

  • Lead supervise and develop a team of up to 8 Office Secretaries and Receptionists across multiple offices
  • Act as a mentor and team lead supporting onboarding training performance alignment workload distribution and continuous development
  • Establish standardize and continuously improve administrative and office processes across all locations
  • Supervise daily administrative operations including documentation flow correspondence calendars and office coordination
  • Oversee internal and external communications (emails phone calls visitors and official correspondence)
  • Coordinate meetings appointments and executive calendars ensuring effective prioritization and smooth communication
  • Ensure accurate confidential and well-organized document management and filing systems
  • Oversee office management activities including supplies procurement vendor coordination and interaction with external service providers
  • Act as a key point of contact between management and the administrative team proactively addressing operational issues and proposing improvements
  • Support senior management with complex administrative tasks and special projects when required
  • Ensure strict confidentiality of sensitive corporate and business information


Your Profile:

  • Proven experience as a Senior Secretary Office Manager or Administrative Team Lead
  • Demonstrated experience supervising or coordinating a team with a strong people-management and coaching mindset
  • Excellent organizational time-management and prioritization skills
  • Strong written and verbal communication skills in English a must and Russian preferred (Greek a strong advantage)
  • Proficiency in MS Office (Word Excel Outlook) and office management tools
  • High attention to detail accuracy and process orientation
  • Ability to multitask and lead effectively in a fast-paced multi-office environment
  • Professional proactive and service-oriented approach
  • Preferred: Diploma or degree in Business Administration or a related field


Whats on Offer:

  • Salary Range: EUR 45000 - 57000 gross/year (approx. EUR 3000 -3500 net/month)
  • Additional excellent net monthly allowance for parents of children under 18.
