POSITION: Volunteer Program Assistant

JOB CLASS/GRADE: Assistant / Grade 9

WAGE: $21.63 per hour

FLSA; EEO; WC: Non-Exempt; Professional; 8864

LOCATIONS: IRCO Main Office 10301 NE Glisan St Portland OR 97220 Hybrid schedule

FTE; FT/PT; STATUS: On call/Casual without Benefits/Hourly/Temporary

Program Summary
The IRCO Advancement Team works under the leadership of the Director of Advancement to increase resources and support for IRCO and the communities we serve. It includes the Community Giving Grants Communications and Volunteer units as well as Executive and Board Support. This position is part of its Volunteer Sector which is broadly tasked with recruiting onboarding and training volunteers agency-wide to assist IRCO programs and services.


Position Summary
The Volunteer Sector of the Advancement Division is currently looking for a Volunteer Program Assistant work closely with volunteers. This position will be involved in every element of the IRCO Volunteer program and will be responsible for assisting the Volunteer Manager in meeting the administrative needs through recruitment onboarding and the placement of volunteers. The strong applicant for this position will bring skills in areas like customer service and volunteer coordination. The Volunteer Program Assistant must have effective communication organizational and interpersonal skills and respond positively and creatively under pressure. This role will support multiple divisions for their work necessitating a basic understanding of these sectors and/or Divisions.


Essential Functions

  • Support organizing and coordinating the recruitment of volunteers for IRCO. This support will include monitoring IRCOs volunteer inbox and responding to general volunteer inquiries; collect volunteer information availability and skills also process volunteer applications set up volunteer accounts conduct background checks.
  • Ensure volunteers have access to program specific training and an understanding of the programs specific needs and client experience
  • Ensure all volunteers adhere to IRCO guidelines using standardized onboarding procedures and packages outlined by the Volunteer Sector Manager
  • Promote IRCOs Volunteer program; post maintain and update IRCO Volunteer opportunities on the volunteer database (Better Impact) IRCOs website and multiple other platforms
  • Keep new and existing volunteers informed about the organization any policy updates and program specific volunteer needs/opportunities
  • Schedule regular check-ins with volunteers to gather feedback and assess their experiences with the program. Address any issues or concerns promptly ensuring that volunteers feel valued and supported throughout their engagement with IRCO.
  • Track Volunteer involvement and maintain required records per office and grantor requirements in a standardized manner and in the volunteer database (Better Impact). Provide volunteer data upon request for reporting purposes.
  • Facilitate communication between the program staff and the assigned volunteers. Coordinate with the program staff for volunteer scheduling.
  • Work closely with the Volunteer Sector Manager to provide a range of administrative support needed for Volunteer Sector projects and activities such as scheduling meetings and assisting with agency-wide events
  • Report on internal volunteer tracking data collection (monthly/quarterly/yearly reports) and database systems

Secondary Functions

  • Compose and type reports forms spreadsheets and related materials and perform research analysis and statistical support for volunteer data and for special projects assigned
  • Support and participate in staff meetings trainings committees and other projects as assigned to support program development as well as other IRCO goals and objectives
  • Support team members with other projects and meetings as assigned including providing occasional back up for other duties/team members
  • Complete other tasks as assigned which are consistent with the definition and intent of the job description
Requirements

Education & Experience

MINIMUM JOB SPECIFIC QUALIFICATIONS:

  • Associates degree or equivalent combination of training and experience
  • Previous administrative clerical customer support or office support experience preferred but not required

PREFERRED QUALIFICATIONS:

  • Strong organizational skills with attention to detail
  • Strong skills in community focused interpersonal and organizational communication
  • Communicate effectively in a positive manner verbally in writing and by phone
  • Strong communication skills in a multilingual multi-background team and organization
  • Ability to manage time effectively and handle multiple tasks as needed

Physical Mental & Environmental Requirements

  • This position is hybrid (remote and in-person); the majority of tasks can be carried out remotely with occasional on-site activities and in-person meetings
  • Ability to regularly access IRCO sites in the Portland Oregon metropolitan area including IRCO Main office site where the administrative offices are located
  • Ability to maintain confidentiality
  • Ability to communicate and solve problems with transparency positivity and initiative
  • Must complete many short- and long-term tasks and projects on different timelines simultaneously and with quickly shifting priorities
  • Collaborate with and within an established team and with people outside of the organization which includes staff and leadership working in many different roles and levels of the organization
  • Ability to listen and clearly communicate on task progress project needs and about ones schedule to accommodate team needs


Supervisory Responsibilities

Positions at this level are not responsible for any supervisory functions or responsibilities but may occasionally be asked to orient and/or train new employees or volunteers.
