Description of Job

Colorado School of Mines is seeking a detail-oriented and proactive Administrative Assistant III to support the dynamic Economics and Business Department. This full-time on-campus role (40 hours per week) is perfect for someone who thrives in a collaborative academic environment and enjoys keeping operations running smoothly.

What Youll Do:
As a key member of our team youll provide comprehensive clerical and administrative support ensuring the department functions efficiently. Your responsibilities will include:

  • Managing administrative files and confidential databases (including Workday)
  • Handling phone calls directing inquiries and providing accurate information
  • Processing incoming mail and routing documents
  • Logging and processing faculty and student forms
  • Coordinating logistics for departmental events
  • Processing payment requests and tracking financial transactions
  • Managing calendars scheduling meetings and taking detailed minutes
  • Monitoring accounts and providing general administrative support
  • Maintaining and updating department websites
  • Creating engaging communication and marketing materials for events

MINIMUM QUALIFICATIONS:

Experience Only:

  • Three (3) years of administrative experience which included front desk reception records management event management/coordination and basic technical accounting/bookkeeping responsibility. (Experience must be clearly documented in the Work History section of your application. See Resume will not be accepted.)

OR

Education and Experience:A combination of related education and/or relevant experience in an occupation related to the work assigned equal to three (3) years. (TRANSCRIPTS MUST BE ATTACHED FOR EDUCATIONAL CREDIT.)

PREFERRED QUALIFICAITONS:

  • Proficiency with spreadsheet and word processing software (i.e. Word and Excel).

  • Daily interaction with students staff and faculty require this position to possess strong interpersonal and customer service skills and the ability to establish rapport with people of diverse backgrounds.

  • Must have excellent organizational skills with the ability to prioritize tasks make decisions independently and provide on-the-spot answers to administrative questions that arise.

  • Must have excellent judgment and discretion and be able to work confidentially with sensitive and protected information.

  • Workday experience

  • Prior relevant state service
