Haglöfs is on an exciting journey and so is our HR team. We are looking for an Office Coordinator to join our headquarters in Alvik Stockholm.

This is a permanent part-time (80%) position with a 6-month probation period reporting to the HR Manager. Youll join the positive and driven HR team and together we ensure Haglöfs workplace is welcoming well-functioning and supports both employees and our culture.

You are proactive organized and service-minded and you thrive when making a real impactwhether its keeping daily office operations running smoothly or leading exciting projects like Haglöfs upcoming head office relocation in late 2026. You enjoy being present in the office connecting with colleagues and contributing to an energetic collaborative workplace. Creating functional welcoming and inspiring spaces comes naturally to you and you take pride in supporting employees boosting team spirit and driving everything you do you help shape Haglöfs culture and make our office a place full of energy collaboration and inspiration.
Key Responsibilities
- Manage daily office operations including guest reception mail supplies and onboarding support.
- Ensure shared spaces equipment and supplies are well-maintained safe and fully stocked.
- Coordinate Townhalls internal meetings and office events including logistics and activities that strengthen engagement team spirit and workplace culture.
- Serve as the main contact for office safety and facility services including security alarms access control fire safety cleaning plant services maintenance providers and vendors.
- Lead the facility-related elements of Haglöfs upcoming HQ relocation.
- Maintain office documentation routines and administrative processes.
Skills and Requirements
- Bachelors degree in office administration service management business administration workplace management or related field preferred.
- Experience in administrative coordination facility or service-oriented roles; experience with external suppliers or facility partners is a plus.
- Strong interest in workplace service facility coordination and creating a positive employee experience.
- Enjoy coordinating and supporting culture-building activities events and initiatives.
- Proficient in Microsoft Office and comfortable with digital tools for office and facility management.
- Highly organized attentive to detail and able to manage multiple tasks efficiently.
- Clear professional and service-minded communication; collaborative and proactive.
- High integrity and professionalism with the ability to handle confidential matters.
- Eager to learn and develop within workplace and facility management.
- Passion for the outdoors and appreciation for an active performance-driven lifestyle.
- Fluent in English written and verbal
This role is based at our Stockholm office in Alvik with the upcoming move to our new vibrant HQ in Slakthusområdet in late 2026 where you will play and important part in the relocation.
We are currently exploring the greatest playground ever made and will review applications in mid January.
