Job Summary

We are looking for a structured and hands-on HR Generalist & Office Manager to join our Stockholm office. This is a hybrid role where your time is split between HR operations and people processes and supporting office management as well as daily operations.

You will play a key role in ensuring that our HR practices stay compliant efficient and employee-focused while also helping create a well-organized and welcoming workplace. The role involves close collaboration with managers employees and cross-Scandinavian colleagues to drive consistent processes and continuous improvement.

This position is ideal for someone who enjoys both the operational and administrative sides of HR and thrives in an environment where structure collaboration and initiative are valued. You will be working on-site from the office at least 4 days a week Your manager is placed in Stockholm and you will have a dottet line to our Group HR in Oslo.

Key Responsibilities - HR Generalist

HR Operations & Compliance

  • Provide HR guidance and legal support in accordance with Swedish labor law and regulations

  • Ensure employment contracts and HR policies are compliant and up to date

  • Maintain and manage employee documentation and contractual information within a centralized system

  • Maintain an accurate and updated overview of employees (roles titles organization start dates agreements etc.)

Employee Relations & HR Processes

  • Manage benefits and compensation processes

  • Drive and coordinate performance management and salary review cycles

  • Monitor health & safety compliance and related matters

  • Maintain accurate HR data related to sick leave parental leave and other absences

  • Ensure updated holiday tracking and proactively manage vacation planning.

Payroll & Systems

  • Act as super user for payroll processes (Aspia) and secure accurate salary payouts

Recruitment & Employer Support

  • Manage recruitment processes end-to-end: screening interviews assessments reference checks and employment contracts

  • Support onboarding and employee lifecycle processes

  • Collaborate cross-Scandinavian on shared HR initiatives and process improvements

Office Manager

You will ensure the office runs smoothly and remains a productive and welcoming workplace environment.

  • Oversee daily office operations and administrative routines and manage office supplies vendors and facilities coordination

  • Maintain office equipment and coordinate repairs or maintenance

  • Help preparing internal conference team gatherings and the like

  • Booking travels flights and accomodation

  • Monitor safety procedures and workplace compliance

Who You Are

We believe you are a proactive and organized HR professional who enjoys working both operationally and collaboratively. You are comfortable managing multiple processes simultaneously and take pride in creating structure and clarity.

Qualifications & Experience

  • Some years of experience in a HR Generalist or HR Operations role

  • Strong knowledge of Swedish labor law and HR compliance and experience working with unions and employee relations

  • Hands-on experience with HR systems and payroll processes (experience with Aspia is a plus)

  • Strong administrative and organizational skills

  • Experience with office coordination or administrative management is an advantage

  • Fluent in Swedish and English both written and spoken
