Job Description

JOB TITLE: Spare Parts Coordinator

MAIN PURPOSE OF JOB:
Responsible for Spare Parts for Biesse UK & Intermac UK Ltd coordinating all Spare Parts activities and interacting with customer and suppliers to process orders. There is a technical aspect to this role which will require some basic knowledge of engineering and electrical drawings.

RESPONSIBILTIES:
Preparing quotes to customers.
Part identification using machine spare parts manuals and with the assistance of Italy.
Processing orders using Oracle placing orders with Biesse SPA and other subsidiaries and matching up order confirmations from Italy in a timely manner.
Receiving goods on to the system in a timely manner.
Manage invoice queries ensuring all customers are invoiced in a timely manner.
Manage any order returns to Italy.
Deal with any other enquiries that a customer may have.
Manage your orders ensuring they are dispatched on time.
Liaise with internal and external stakeholders including Service Help Desk customers engineers and other members of staff to ensure successful completion of any enquiries.
Provide a single point of contact for all spare parts.
Ensure all Service Requests are dealt with in a timely manner (KPI based) according to severity.
Liaising with customers to ensure they are updated at all points of the order from initial enquiry through to delivery.
Support escalation process for Spare Parts Delivery.
Responsible for the technical Identifications of the parts which will include being the source for this information.
Perform any other duties as specified by the Spare Parts Manager.

PERSON SPECIFICATION:
Good understanding and working knowledge of Oracle (Operating System) - desirable.
Ability to work under pressure in a very busy high stress environment juggling tasks and prioritising workload
Excellent communicator with the ability to interact with customers providing a high level of customer service.
Ability to use Microsoft Office effectively and efficiently.
Knowledge of how to read general layout drawings
Basic understanding of electrical and mechanical drawings however general Layout drawings is essential.

ESSENTIAL:
Very strong organisation and administration skills with accuracy and attention to detail
Excellent customer service with drive to provide world class experience
Willing to learn and adapt quickly
Ability to read and recognise parts from spare parts manual
Some technical experience with ability to recognise in pictures electrical and mechanical components from industrial machinery
Knowledge of how to read general layout drawings

DESIRABLE:
Experience in repairing machinery and read electrical diagrams
Basic knowledge on how to read mechanical drawings
